ABOUT THE ROLE:
This position coordinates administrative duties and responsibilities to support program operations. A Program Coordinator independently performs general office and program support, event organization, travel, purchasing, expense tracking, data entry and retrieval, web content updates, and file tracking and management with minimal supervision. Responsibilities may also include supporting budget and grant administration and expense tracking. The Program Coordinator reports to the director of the program, while also handling assigned functions from other professional project staff in the program.
WHAT YOU’LL DO:
- Independently performs a variety of clerical tasks including word processing, editing, creating graphics, formatting, posting, and distributing various publications with impeccable attention to details.
- Leads planning and execution of in-person and virtual meetings, including invitation clearances, correspondence with members, logistics, site planning, travel arrangements, materials preparation, communication with participants, and on-site/virtual support. Also manages expense-report processing.
- Updates and coordinates maintenance of content on NCSL.org. May assist in developing project databases and collections, and create new webpages based on emerging issues or assignments.
- Provides exemplary member service by managing inbound and outbound communications. Acts as a liaison for members, vendors, and internal/external stakeholders.
- Assists with preparing, sending, and tracking outreach to legislative leaders regarding nominations, appointments, and participation in NCSL programs and committees.
- Trains staff on organizational processes and computer applications. Supports general administrative duties for senior leadership, including the CEO.
- Compiles budget and expense documents and assists in preparing proposals and reports, including grant application budgets in Excel and use of external systems.
- Coordinates hiring processes, including scheduling interviews and administering skills assessments.
- Collects and monitors data on legislatures, especially legislative leaders, both domestically and internationally. Tracks relevant news and prepares regular updates for senior staff.
- Compiles, drafts, and generates program or project status reports. Assists with legislative research responses that are concise, accurate, and nonpartisan.
- Performs other responsibilities as needed.

THE WORK ENVIRONMENT: This full-time position is mostly performed in an office environment, on or off-site, with prolonged periods of sitting at a desk and working on a computer. NCSL provides a unique hybrid remote work policy with the requirement that staff travel on their own fare to the NCSL office once a month for team meetings and professional development. Employees routinely use standard office equipment such as laptops, printers, scanners, copy machines, and smartphones. Occasional travel by airplane, including overnights and weekends, is required. QUALIFICATIONS FOR SUCCESS:
Minimum Qualifications:
- High school diploma (or its equivalent) plus five years of progressively more complex administrative experience.
- Proficiency in computer-based clerical duties, including Microsoft Office and other software programs; ability to learn new procedures and applications.
- Expertise in communicating clearly and professionally in writing and orally and dealing discretely with sensitive information.
- Experience working both independently and collaboratively as circumstances dictate.
- Proficiency with simultaneously managing multiple tasks and deadlines.
- Competency working under deadline pressure and adapting to changes in workloads.
- Superior customer service and organizational skills with strong attention to detail.
- Creative thinking and problem-solving skills.
- Ability to travel by air approximately 4 times per year, generally for 1-3 nights.
