Fall Internship - Special Events
New York City Ballet is seeking an enthusiastic and responsible Special Events Intern to support the operations of a dynamic events department. Under the guidance of the Coordinator, Special Events, the Special Events Intern will gain valuable work experience in event production, fundraising, patron relations, database management, and arts administration.
Internship dates: September 9, 2025 - December 12, 2025
Desired time commitment: 12-15 hours per week
Major Duties and Responsibilities:
- Shadow and assist the Special Events team with patron correspondence, fielding questions, and accepting event donations
- Working closely with the Coordinator, Special Events, will retrieve guest information and facilitate solicitation and courtesy confirmation calls
- Learn effective database management as it pertains to Special Events donors, focusing on maintaining comprehensive donor profiles and historical event information
- In collaboration with the Special Events team, will draft and proof copy for printed materials, website content, e-mail solicitation, newsletters, and other event marketing correspondence
- Support the printing letters, envelopes, and assist in assembling benefit invitations and mailings
- Assist in maintaining the digital archive of event files
- Support the department with tracking in-kind support for benefit events
- Work closely with the team to conduct donor research for gala dinner seating
- Assist the Special Events team with Playbill listings process
- Help organize electronic press and social media clippings for benefit coverage
- Provide on-site support at benefit and cultivation events as schedule allows
- Help organize and inventory supplies, beverage products, and event materials
- Will have the opportunity to engage in long-term research projects as applicable
- Provide general administrative support as needed
Minimum Requirements:
- Must be a student currently enrolled in an accredited undergrad or graduate program
- Professional demeanor, attention to detail, and excellent written and verbal communication skills
- Ability to multi-task, prioritize, and problem-solve in a fast-paced work environment
- Excellent knowledge of Microsoft Office (Word, Excel, etc.) and Tessitura a plus
- Availability to work some nights and weekends
- Ability to work remotely and on-site at the David H. Koch Theater at Lincoln Center, as needed
This internship will provide a great opportunity to experience how a high level Special Events team and Development department operate within a non-profit performing arts organization. Benefits include access to ballet performances and special events. Standard office attire is business casual and formal for special events.
