Human Resources Coordinator
The Human Resources Coordinator is responsible for providing administrative support for employee onboarding, benefits, and changes. This role serves as go-to resource for employees needing assistance throughout the employment lifecycle. The Human Resources Coordinator maintains detailed records, assisting with on-boarding efforts, ensures accurate and timely processing of benefits, and provides exceptional support to the department and all company employees.
In this role you will:
- Coordinate with department leadership and hiring managers to ensure a smooth onboarding process, including offer letters, desk setup, network access, parking arrangements, business cards, and other onboarding details that will provide a phenomenal start for new employees.
- Act as a contact for onboarding questions from new employees and their managers.
- Assist at new hire orientations as needed.
- Accurately enter employee changes into the HRIS system and collaborate with payroll to ensure accurate deductions and/or earnings.
- Maintain the I-9 master file according to federal compliance rules.
- Serve as the first point of contact for benefits inquiries (401k, health, parking, etc.), providing education and support to employees.
- Guide employees through enrollment and updates for qualifying life events.
- Maintain a strong understanding of benefits plans and assist in ensuring legal compliance
- Reconcile monthly benefits invoices.
- Assist with annual open enrollment.
- Certify annual ACA forms for year-end filing.
- Complete and file the annual Oklahoma Certified Healthy Business application.
- Track employee life events for benefits communications and gift distribution.
- Assist with the coordination, including assignment and tracking, of employee learning plans.
- Collaborate with Ticket Operations department to handle the setup and ongoing correspondence for seasonal employee ticket program.
- Perform various administrative support tasks including regularly update the employee resources portals and associated documents, filing, and sourcing gift items and supplies.
- Perform other duties as assigned.
What you'll bring to the role:
- Bachelor’s degree or equivalent is valued, but welcome applicants with diverse education and experience
- Strong verbal and written communication skills, with the ability to connect across departments and organizational levels.
- Highly organized, detail-oriented, and experienced in handling confidential materials.
- Willingness to jump in wherever needed, making every detail count
- Familiarity with HR compliance topics such as ACA, FMLA, COBRA, etc.
- Strong proficiency in Microsoft Office applications including Word, Excel, Outlook, and PowerPoint.
- Experience using Paycom HRIS is a plus
- Being bilingual is valued, but not required.
Additional details:
This is a full-time, non-exempt position reporting to the Manager, People & Culture. Schedule includes regular office hours with occasional evening or weekend duties for special events. Primary work location is the Thunder corporate office located in downtown Oklahoma City. Must have valid driver’s license and transportation as some local travel may be required. Physical requirements will include lifting and bending.
