ABOUT THE BAY VIEW ASSOCIATION
Bay View Association (BVA) is an independent 501(c)(3). BVA is a National Historic Landmark (https://www.miplace.org/historic-preservation/programs-and-services/historic-landmarks/bay-view-association/) that currently has 445 Victorian cottages, 2 inns, 30 historic buildings, and 900 members. Bay View is a Chautauqua on Lake Michigan, offering four program areas: Performing Arts, Worship & Religious Life, Education, and Recreation. Cottages may be occupied from May through October.
POSITION SUMMARY

Bay View Association is looking for a creative and organized Donor Relations & Marketing Assistant to help strengthen donor relationships, coordinate volunteers, and enhance our marketing efforts. The ideal candidate will be an organized self-starter with excellent customer service skills and a passion for supporting the mission of Bay View Association.
ESSENTIAL JOB FUNCTIONS
- Assist with the production and mailing of fundraising appeals, including the Annual Fund appeal, Year-End appeal, Giving Tuesday campaign, and other initiatives as required.
- Process donations and generate acknowledgment letters in a timely and accurate manner.
- Maintain and update the donor database, ensuring data accuracy and integrity.
- Support fundraising efforts by preparing reports, tracking donor engagement, and assisting with donor stewardship initiatives.
- Act as the Volunteer Coordinator, assisting with recruitment, scheduling, and communication with volunteers.
- Assist with marketing and communications efforts, including social media management, email campaigns, and promotional materials.
- Collaborate with the Director of Donor Relations & Communications to develop fundraising literature, including brochures, logos, and artwork as needed.
- Manage and update social media platforms to enhance engagement and outreach.
- Answer development-related inquiries and provide excellent customer service to donors, members, and stakeholders.
- Answer telephones during peak times to support office operations.
- Attend Development Committee meetings and provide administrative support as needed.
QUALIFICATIONS
- Associate’s degree or equivalent work experience.
- Experience in administrative work, fundraising, or marketing preferred.
- Strong proficiency in Microsoft Office Suite, Office 365, and online research tools.
- Proficiency with Canva, Publisher, and other graphic design tools is a plus.
- Experience with Raiser’s Edge or similar donor database software is a plus but not required.
- Exceptional organizational skills and the ability to prioritize tasks in a fast-paced environment.
- Strong written and verbal communication skills with attention to detail.
- Positive attitude, a proactive mindset, and the ability to multitask effectively.
- Ability to work both independently and collaboratively in a team-oriented environment.
- High level of discretion and ability to maintain confidentiality regarding donor and organizational information.
- Willingness to adapt and assist with various projects as needed, particularly during the busy summer season.
SALARY AND BENEFITS
SALARY:
$40,000 - $45,000 per year plus benefits; commensurate with experience.
