Job Summary:
This recruitment will be used to fill one part-time (approximately 32 hours per week) Office Specialist 2 position for the Division of Extension and Engagement’s Extension Coos County Office with Oregon State University (OSU ).
This Office Specialist 2 (OS2) position is based at the Oregon State University Division of Extension and Engagement’s (division) Extension Service Office in Coos County. This position is a regional team member of the Extension Service.
The OS2 provides general office support for the Extension Coos County office. This position provides educational resources and general assistance to the public or refers individuals to the appropriate faculty or staff members, record and database management, and maintaining program resources. This includes providing excellent and empathetic customer service while engaging in culturally appropriate and inclusive communication. In addition, this OS2 should have general knowledge of database management, web-based software programs, and web contents maintenance software and be proficient with computer software such as or similar to Microsoft Office Suite.

Key Responsibilities
60% – Reception and General Office Support
• Answer multiple phone lines, screen and direct incoming calls.
• Greet visitors and provide instructions and directions.
• Provide excellent and empathetic customer service while engaging in culturally appropriate and inclusive communication.
• Inform public about specific information and services.
• Provide information to clientele when requested.
• Handle the sale of publications and other program-related items.
• Take in registration funds for programs.
• Reserve conference rooms and track usage.
• Provide canner lid testing to clientele.
30% – General Office Support
• Print, file and organize program related documents as needed.
• Assist program faculty and staff with program needs. This will include assisting at Coos County Fair.
• Assist other office support personnel and Administrative Office Manager as needed.
• Serve as Front Office resource for Extension equipment.
• Assist with providing support for the educational programs. This includes assisting faculty and staff with coordinating reasonable accommodations requests, when requested.
• Pickup, open and distribute mail, and prepare mailings.
• Meter and deliver all out-going mail to USPS or other sites, as appropriate.
• Update and maintain Extension databases.
• Maintain and organize office calendars.
• Make copies for program faculty and staff.
• File and organize program related documents as needed.
• Organize and maintain publication files, including publication orders.
• Assist with special projects as requested in all program areas.
• Open and close the office daily per office hours.
• Manage the contents of the Extension webpage/Facebook and other digital marketing media, ensuring civil rights responsibilities are incorporated.
• Ensure diversity of images, identities and perspectives represented in photos, artwork, and printed materials, working with the OSU division’s Access, Compliance, and Inclusive Innovation unit.
• Follow OSU and division brand guidelines, digital publishing standards and digital contact management data integrity practices for programmatic communications, marketing and engagement.
10% – Other Duties
• Collaborate with supervisor and co-workers to meet office operational needs of the OSU Extension team.
• Provide information to clientele about Oregon State University’s classes, programs and resources. This includes communicating inclusively with a broad and diverse audience.
• Help maintain office work areas including customer counters, workstations and conference room; and assist co-workers to secure office and conference areas.
• Attend training opportunities to build basic knowledge and consistent skills to use digital communications, marketing and engagement technologies relevant to position duties.
• Complete the division’s civil rights training(s).
• Perform other duties assigned as needed.
• Assists the Administrative Office Manager with ensuring a safe, welcoming, and respectful environment for all Extension and Engagement constituents and clients.
What You Will Need
• Work experience (professional and/or volunteer) in an office environment, including working with computers.
• General knowledge and ability to use networked computers, including proficiency with professional office software such as or similar to Microsoft Office Suite and spreadsheets.
• Detail oriented.
• Experience with editing website content.
• A commitment to collaborative and respectful learning and working environments that are safe, inclusive, and welcoming.
• Ability to interact and communicate successfully and inclusively, both in writing and verbally, with a broad and diverse audience in a professional, positive and friendly manner.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.

Working Conditions / Work Schedule
• Ability to lift and move 50 pounds or more of equipment and educational materials.
• Ability to work in environments where livestock and animals are present, including outdoor and indoor settings. Evenings and weekends may be required based on programming needs, coordinating with supervisor to adapt work schedule to address community programming needs.
• Ability to travel to attend events related to programs or professional development.
• Ability to travel (non-driving) to deliver mail and packages to posting shipping sites.
