Athlete Services Coordinator

Athlete Services is in part, the face of the company to prospective athletes and the liaison in CTS (Carmichael Training Systems) coach-athlete relationships. You will help educate athletes on the great experience they can have with our talented and uniquely qualified CTS coaches. As a result, communicating effectively via email, phone, and text with prospective and current athletes is paramount to this position’s success. A positive interaction with you can make the difference in signing up an athlete, keeping them around, or saving a coach-athlete relationship. As the Athlete Services Coordinator, your ability to be flexible and tackle a variety of responsibilities, scenarios, and challenges within a given day is crucial to the company’s success on an athlete-by-athlete basis. 

As an Athlete Services Coordinator, your responsibilities will include but will not be limited to: 

• Answer questions from current and prospective athletes regarding billing, and the variety of coach packages and services we offer via email and phone
• Maintain athletes' status within our billing and CRM systems (cancellations, sign-ups, and service holds within our CRM and training platform/software)
• Assign consultations to CTS Coaches and follow up on prospective athletes as needed
• Update athlete payments for monthly subscriptions and ensure payments do not reach an uncollectable status
• Assist the Director of Finance in the upkeep of our CTS gear inventory, and mail products to athletes when needed
• Assist the Marketing Director and Athlete Services Director with CTS promotional strategy projects
• Assist the Director of Operations as needed with training camps and race crewing efforts
• Assist in the upkeep of our office and company vehicles

About You:

• You are an effective communicator via email, phone, and text communication.
• Able to make a current or prospective athlete feel like their communication was heard, and processed, with a thoughtful response given in return
• Able to collaborate with coaches and the leadership team to find successful solutions to a variety of situations you will face
• You seek to build relationships with athletes, coaches, and the leadership team. Being successful in this Athlete Services Coordinator role requires you to know all of our coaches well, on a professional level to match them appropriately with prospective athletes.
• You are actively involved and have a genuine interest in the endurance sports community. Your ability to relate to athletes and coaches in this role is paramount to developing common ground and building relationships with them.
• You can be successful working independently and in a team environment on the variety of daily tasks you face.
• You can efficiently block your time to focus on projects with tight deadlines.
• You are comfortable asking for help when a new situation arises.

Helpful Experience:

• Athletic background
• Experience in a customer service setting
• Google Suite (Preferred)

• Reports to Athlete Services Director
