Missions Assistant

 

Description:

The Mission’s Department is responsible for planning Jewish trips to countries around the globe in order to highlight UJA’s work abroad, enhance the efforts of UJA-Federation’s annual campaign, and engage our donors closely with our work around the world. These missions provide donors and potential donors with the opportunity to see for themselves how our campaign supports critical social services and the reach of our network to special access speakers, political officials, and social changemakers around the world. In this role, the Missions Assistant will provide support to the Missions Department’s director and team.

Major Responsibilities:

  • Assist with organization and logistic planning concerning missions both domestic and overseas
  • Process all mission registration forms and compile information in an orderly way
  • Work with tour operators and flight vendors on participants and staff itineraries, spreadsheets, and necessary pre-trip information
  • Add missions to the fundraising events calendar and fundraising database
  • Manage invoices, deposits, payments, and financial reporting as it relates to each individual mission by working with accounts payable and purchasing departments
  • Prepare work orders for each mission, submit to Legal and vendor, and get required signatures
  • Process and follow up on print production, expense reports, check requests, and supply orders
  • Assemble materials for internal and external meetings (mission-orientation and recruitment-meeting packets)
  • Act as a verbal liaison between directors, staff members, and lay leaders
  • Sustain effective filing system for fast retrieval
  • Perform other work duties as assigned

Qualifications and Competencies:

  • Bachelor’s degree required
  • Proficient in Microsoft Office, specifically Word and Excel
  • Strong organizational and interpersonal skills
  • Extremely detail-oriented, with an ability to multitask in a fast-paced environment
  • Ability to work independently and as part of a team
  • Well-developed verbal and written communication skills
  • Ability to establish and maintain satisfactory work relationships with other employees, volunteers, and lay leaders
  • Ability to organize and prioritize work to meet deadlines
  • Flexibility and ability to work late on occasion

Salary Information:

The salary range for this role is $45,000.
