Hospital Main Entrance Greeter

THE POSITION: We are seeking a dedicated individual to join our team as a Hospital Main Entrance Greeter. In this crucial role, you will be the welcoming face at our main entrance, engaging with every patient and visitor who walks through our doors. Your primary responsibilities will include directing individuals to their destinations within the hospital and offering clear, concise descriptions of what they can anticipate during their visit. Excellent customer service skills are essential as you will be the first point of contact for many, providing reassurance and guidance with empathy and professionalism.

PAYROLL TITLE: Medical Office Assistant I/II 

Distinguishing Characteristics:
Entry level classifications (MOA I) in this job series, incumbents perform routine clerical and/or manual tasks with simple, clear-cut instructions involving no more than a few steps per task and possess some program knowledge (i.e., medical terminology and medical office operations).
 
Journey level classifications (MOA II) in this job series, incumbents perform a variety of clerical duties according to established criteria and prescribed procedures. Some independent judgment is required in choosing among alternative courses of action in mostly standardized operations or routine situations.

Agency/Department: Health Care Agency – Ventura County Medical Center
 
APPROXIMATE SALARIES:
Medical Office Assistant I - $16.87 - $22.37 per hour
Medical Office Assistant II - $17.62 - $24.64 per hour
 
EDUCATION/BILINGUAL INCENTIVE:
Incumbents may be eligible for an educational incentive of 2.5%, 3.5%, or 5% based on completion of an Associate's, Bachelor's, or Master's degree that is not required for the classification. Incumbents may also be eligible for bilingual incentive depending upon operational need and certification of skill.  
 
VETERAN’S POINTS: This is a trainee/entry level classification (Level I/II), and Veteran’s Points may apply to eligible candidates. Documentation of military service (DD-214) must be submitted prior to close of recruitment in order to receive points.
 
Medical Office Assistant (all levels) are represented by the Services Employees International Union (SEIU) and are eligible for overtime compensation.
 
The eligible list established from this recruitment may be used to fill current and future Regular (including Temporary and Fixed term), vacancies for this position only.  There is currently one (1) regular vacancy within Ventura County Medical Center. 
 
NOTE: If appointed at the lower level, incumbent may be promoted to the higher level without further examination upon meeting the minimum requirements, demonstrating satisfactory performance, and in accordance with the business needs of the department.

Examples Of Duties

Duties may include but are not limited to the following:

 

  • Receives clients and answers phone calls; directs people to appropriate locations, service, or information sources; answers routine questions; explains routine procedures, processes, or departmental activities; provides assistance in the completion of forms; refers clients/patients to appropriate resources; assures federal and state confidentiality measures are followed.
  • Handles high volume of patients, internal/externals customers, and frequent changes, delay or unexpected events.
  • Checks patients, visitors, and vendors into the venue in accordance with hospital policy.
  • Communicates with patient care team to ensure that patient care needs are addressed.
  • Monitors waiting areas and ensures areas are maintained clean.
  • Operates a variety of automated office equipment including computers.
  • Provides patient and department assistance using the hospital outpatient QLess software system, and assists with troubleshooting needs of the software when needed.
  • Supports the auxiliary office with special events, activities, and projects.
  • Provides exemplary customer service listens to customers’ concerns, issues and questions; resolves customers’ concerns and answer customers’ questions to your best ability; maintains a positive attitude and calmly respond to customers’ complaints; works well as part of a team, and
  • Performs other related duties as required.

 

Typical Qualifications

EDUCATION/TRAINING/EXPERIENCE:

Medical Office Assistant I:
Some clerical experience in a medical service delivery area which has led to the acquisition of the required knowledge, skills, and abilities.
 
The required knowledge, skills, and abilities also can be obtained by six (6) months of paid and/or volunteer clerical experience in a medical or mental health service delivery office environment in a job that required knowledge and use of medical terminology and procedures OR a certificate from an approved medical assistant training program (Watterson, Bryman, Adult Education, Center for Employment Training, Ventura College, Oxnard College, etc.). The certificate must be provided to the appointing authority at the time of appointment.
 
Medical Office Assistant II:
Considerable clerical experience in a medical service delivery area which has led to the acquisition of the required knowledge, skills, and abilities. The required knowledge, skills, and abilities also can be obtained by one (1) year of clerical experience and/or training in clerical occupational fields which included six (6) months of experience in a medical or mental health office environment that required knowledge and use of medical terminology and procedures. 

NECESSARY SPECIAL REQUIREMENTS:
 

  • Three years of recent professional experience in a fast-paced, high volume customer service environment (Both levels).
  • Must be willing and able to work early mornings, night shifts, and weekends when needed. 
  • Must be willing and able to work at the Santa Paula Hospital, on occasion. 

Knowledge, Skills, and Abilities:

Working (Level I) to considerable (Level II) knowledge of: 
 

  • The operations, procedures, and practices used in support of the function to which assigned; 
  • Correct English usage, spelling, grammar, and punctuation; 
  • Customer service best practices; 
  • Strong interpersonal skills; and
  • Strong verbal communication skills. 

Working (Level I) or considerable (Level II) skill (depending on assignment) in: 
 

  • Demonstrating a certain prescribed proficiency in typing or equivalent word processing.
  • Demonstrating cultural sensitivity and competence with patients, visitors, employees and vendors.

Working (Level I) to considerable (Level II) ability to:
 

  • Perform and coordinate moderately difficult and responsible clerical work with little or no direct supervision; and 
  • Understand, follow, and convey written and verbal information/instructions.


Working Conditions:
Positions will involve moderate to heavy public contact, including ambulatory or non-ambulatory patients in an outpatient or inpatient medical service delivery area; position will require walking and standing for up to 50% of a shift.
