Data Processing and Reporting Specialist

Pay Type: Non-Exempt, Full-Time, Hourly 

Position Summary: The Data Processing and Reporting Specialist works closely with the Philanthropy and Finance teams. The position is responsible for processing gifts and payments, preparing acknowledgements, receipts, and pledge reminders, administering Corporate Partner benefit fulfillment, running various financial reports, updating the donor database, and managing the filing systems.  Additionally, this position is instrumental in supporting the Department through data management, reporting, analysis, and improvements in our Salesforce CRM processes. This is accomplished by improving the efficiency, accuracy, and repeatability of both the reporting and the creation of lists via Salesforce to be used in campaigns directed to our donors and supporters throughout the year.

Essential Functions
Data Integrity
Open mail, assign to donor accounts and process, record, and acknowledge gifts, pledges, and payments received in a timely fashion.
Access secure files from external gift-processing vendor partners and other departments reviewing records to correctly assign per donor designations.
Perform data entry to ensure accuracy and relevant biographical and demographic information for donors, volunteers, and constituents.
Maintain electronic and hard-copy donor files
Review the current gift processing and data entry practices and procedures as well as the current audience segmentation processes
Work with Salesforce Administrator and Senior Manager of Donor Relations to provide recommendations on how to improve accuracy, efficiency, and repeatability within our Salesforce CRM. Examples include Campaign usage, dashboard implementation, and attribute tracking
Following guidelines from Senior Manager of Donor Relations, partner with the Finance team to provide documentation as required.
Act as liaison with Finance team to reconcile gifts, pass-through gifts, soft-credit information, and ensure accuracy of campaigns, funds, and appeals.
Scan and upload gift documentation according to established financial audit protocols.
Moves Management & Sponsorship Fulfillment:
Work with Senior Manager of Donor Relations to Institute Moves Management engagement plans for various stages within donor lifecycles by using improved attribute tracking and campaign connection
Provide appropriate recognition and benefit fulfillment for corporate and individual donors.
Send pledge reminders/invoices on a monthly or as-needed basis
Works with staff to provide direct support to donors who have gift inquires, receipt questions, or other tax related document questions.
Ensure donor intent is followed, validating assumptions with supervisor and Philanthropy team members.
Adhere to best-practice security protocols for accessing vendor files, sharing donor and/or confidential giving information.
Reporting
List pulls for donors, past/current event participants, etc for various philanthropy team needs
Membership reporting for Philanthropy, Membership, Finance, and Management teams
Moves Management reporting and revenue forecasting reporting
Undertake special assignments for the Director of Philanthropy and Vice President of Advancement.
Participate as a team member in Philanthropy programs and events.

Education and / or Qualifications preferred:
Education: Associates degree or equivalent work experience, preferably in a philanthropy office.
Experience: 3 to 5 years experience with Customer Relationship Management (CRM) database and processing, possessing strong knowledge of fundraising principals and practices. Advanced working knowledge of  strongly Salesforce preferred. Ability to handle sensitive material with discretion. Comfort managing up and communicating ideas and recommendations clearly and convincingly. Highly organized and systematic, with diligent attention to detail and the ability to prioritize and complete tasks with a high degree of accuracy.
Skills/Knowledge/Licenses: Ability to multi-task, work in a fast-paced environment, prioritize tasks, manage time, work with a team, and openly communicate with others.

Working Conditions: Basic mobility is expected in offices, grounds, and exhibition areas. Ability to observe details at close range and communicate information accurately with others. Engage in occasional object manipulation with or without assistance, and efficiently navigate the workspace to access essential resources. Manage occasional lifting tasks, and ability to handle objects weighing up to 20 pounds with ease and regularity. This job operates in a professional indoor office environment, across grounds, and exhibition areas. Occasionally, may be required to work outdoors under inclement weather conditions. Occasional assignment to off-shift duties.
