Legal Operations Coordinator

POSITION TITLE:  Legal Operations Coordinator (Hybrid)

STATUS: Full-time, Non-Exempt

POSITION SUMMARY: 

The Legal Operations Coordinator provides day-to-day administrative and operational support to the Legal department. The Coordinator handles the flow of legal documents and information, and is responsible for a high volume of database tracking, indexing, emailing, and storing legal documents, as well as additional duties, as assigned. This role requires strong organizational skills and a keen eye for detail. The Coordinator interacts with business stakeholders at all levels, both internally and externally, and must possess excellent interpersonal skills. The person in this position must be tech-savvy and have the ability to adapt easily to change, including new technologies, systems, and processes.

 

RESPONSIBILITIES:

  • Monitor and update statuses of contracts in the legal tracking database.
  • Respond quickly to basic requests from internal stakeholders and conduct regular follow-up to ensure paperwork gets to the finish line.
  • Operate the signature and filing stages of the contract process: confirm contract documents are complete prior to execution; assign contract numbers; upload contracts into electronic signature software for final approvals and signatures; process any hard copy contracts; circulate executed contracts to internal and external counterparts; and store contracts in the internal Legal files.
  • Maintain PBSd’s contract and legal documentation filing system, index, and digital database.
  • Assist the Director, Legal Affairs with testing, and implementing, new technology functions and procedure updates to support ongoing efficiency improvements.
  • Utilize information from, and enter information into, databases and software systems.
  • Help maintain department process documentation and support the Director, Legal Affairs with the Legal department intranet site.
  • Handle other administrative tasks such as document scanning and off-site file storage, as needed.
  • Send correspondence, as requested.
  • Other duties and ad hoc projects, as assigned.

 

WORK EXPERIENCE: 

  • 1-2 years of relevant administrative and/or operational experience in a dynamic environment
  • Familiarity with home entertainment, television, and/or film production, as well as the media distribution landscape and process, is a plus
  • Experience coordinating and maintaining a large volume of projects, contracts, and/or legal documents, is a plus

 

EDUCATION/TRAINING:

  • Bachelor’s degree or equivalent experience

 

SKILLS:

  • Experience working with and maintaining databases
  • Proficient in Microsoft Office and Adobe Acrobat
  • Familiarity with electronic signature programs, project tracking software, and/or document comparison tools, is a plus
  • Strong attention to detail and excellent organizational skills
  • Strong verbal, written, and interpersonal communication skills
  • Ability to set priorities, meet deadlines, take initiative, and multi-task in a fast-paced environment
  • Ability to work in a team environment both collaboratively and independently
