  Human Resources Attendance Specialist

Job Summary: To inspire and prepare all scholars with the confidence, courage and competence to achieve their dreams; contribute to community; and engage in a lifetime of learning by performing human resource attendance record maintenance, monitoring and reporting. Responsibilities focus in the areas of paid and unpaid employee time off of work.  The Human Resources Attendance Specialist is also responsible for maintaining all employee records related to the attendance tracking system, and for processing items related to leave requests. 

Responsibilities and tasks include:

Reviews and verifies hourly employee time reports and building absenteeism reports. 

  • Maintains Human Resources Information System (HRIS) and Frontline/AESOP system employee attendance records and substitute assignments.
  • Records daily absences and verifies/proofs absences against time reports and bargaining contracts, state and federal rules and statutes.
  • Monitors employee leave usage and alerts human resources staff and supervisors as needed.
  • Validates substitute assignments against absences.
  • Processes absences that require prior approval.
  • Calculates and processes absence deductions for payroll.
  • Ensure compliance with policies and procedures, bargaining contract, state and federal laws.
  • Review and verify employee time off requests and absentee reports as needed.
  • Data entry into HR/Payroll system(s), cross train on various HR Specialist roles
  • Complete employment verifications as needed

Operates and supports staff and employees using the absence management attendance tracking system

  • Builds substitute, supervisor, site and absence reason profiles in the attendance tracking system.
  • Assists employees and supervisors with system use.
  • Assist with implementation of system updates, set ups and conversions.
  • Monitors days worked and assists processes payroll records for substitutes.
  • Responds to a variety of individuals (staff, supervisors, employees) for the purpose of providing information and/or direction related to the attendance system.
  • Coordinates the assignments of continuous substitute staff

Builds interpret reporting as needed

  • Compiles bargaining unit and individual leave reports on request.
  • Provide recommendations to human resources leadership on absence topics.

Skills, Knowledge & Abilities:

  • Prior data entry experience
  • Previous experience with attendance or timecard systems
  • Intermediate knowledge of Excel spreadsheets including sorting, filtering, functions and organizing data
  • Basic understanding of human resources, payroll and compensation activities
  • Ability to read and interpret bargaining agreement terms and conditions pertaining to absences, leave, vacation or other provisions related to job assignments.
  • Math skills such as adding, subtracting, multiplying and dividing units of measure using whole numbers, fractions and/or decimals
  • Knowledge of basic record retention, record/file/database maintenance requirements
  • Understanding of data privacy requirements, laws and rules as it pertains to job assignments


Minimum qualifications include: 

  • High School Diploma or GED
  • One year or more years experience as a data entry clerk, or similar experience required
  • Ability to navigate multiple computer software systems and applications

Preferred qualifications include: 

  • One year previous experience in human resources other similar experience preferred

WORK HOURS:   7:00 AM to 3:30 PM 

Job Type: Full-Time
Bargaining Unit:  Confidential Support Specialists
Salary Range: Class 2 $19.25-$26.33 an hour
