Event Coordinator

Hey! We are Creating Me, The Childern's Powerhouse.

We are a children's art studio. We do birthday parties, classes, and events. We looking for an Event coordinator to organize excellent events & birthday parties. Ideal candidate speaks english and spanish. The goal is to come up with fun, interactive, and out of the box events for kids and families. You will be responsible for every aspect of an event: contact with clients, scheduling, planning, coordinating timing and vendors, set up, and take down. Organization, communication skills and attention to detail will set apart the best among the candidates. Add a shot of enthusiasm and passion for the job and you’ll be our ideal candidate. Part of the job is also looking for partnerships around town to organize pop-up events to take Creating Me out to the community & create great outside of venue events.

Responsibilities

  • Meeting with clients to discuss the event/party and what they’re looking for
  • provide excellent customer service
  • Party planning the decor, set up and take down
  • Creative ideas for decor. Creating the sets or "templates" we will keep using for parties
  • Creating an event/party proposal that fits the client’s requirement
  • Understand requirements for each event
  • Plan event/party with attention to financial and time constraints
  • Research vendors (catering, entertainment, musicians etc.) and choose the best combination of quality and cost
  • Schedule teachers, entertainment & vendors
  • Manage all event/party operations (planning, preparing venue, promotions etc.)
  • Serving as the main contact point for any and all problems that arise at the event
  • Day-to-day administrative work such as issuing invoices and collecting payments
  • Oversee event happenings and act quickly to resolve problems
  • Marketing of the events
  • Connecting with influencers & partners for events
  • Partnering up with other Miami event planners to promote our venue
  • Managing Mobile pop up events & birthday parties
  • Collaborating with the community

Skills

  • Excellent customer service kills
  • Proven experience as event coordinator
  • A proven track record of organizing successful events
  • Proficient in MS Office
  • Proficient with Canva
  • Excellent vendor management skills
  • Knowledge of basic recruitment practices
  • Outstanding communication and negotiation ability
  • Well-organized with multi-tasking skills
  • Able to handle stress and remain calm
  • Problem-solving ability
  • Degree in hospitality management, public relations or relevant field is preferred

Schedule:

  • Day shift
  • Monday to Friday (some might be remote)
  • Full weekend availability for events and parties
