GTCYS Job Description: Harmony Manager                                                                    March 2024

Status:              Full-time, year-round position (exempt)

Reports to:        Harmony Director

Compensation: $46,000 - $50,000 plus benefits

 

ABOUT HARMONY

Launched in 2016, Harmony is a barrier-free, year-round strings instruction program of the Greater Twin Cities Youth Symphonies (GTCYS, pronounced git-seez) that uses music as a tool for social transformation, empowering students to make a positive impact in school and their communities. A before-school program led by Harmony Director Mary Sorlie and a talented team of teaching artists, Harmony serves up to 65 2nd – 5th grade violinists and cellists at Riverview Spanish-English Dual Immersion School in St. Paul’s West Side neighborhood. ABOUT THE ROLE

The Harmony Manager is responsible for planning and implementing all Harmony logistics and communications, supporting the Harmony Director and faculty, and coordinating GTCYS’ Sponsored Lessons program. This hands-on role is the primary liaison with Harmony students, alumni, their families, and program partners, and is responsible for bilingual communications in Spanish and English. The successful Harmony Manager will be fluent in Spanish, have experience as a musician and a love of diverse musical styles, passion for working with youth of varied backgrounds, be highly organized, and able to take initiative. In future years, a teaching artist role could be added to this position, depending on the new Manager’s skills and interests. This is an in-person role for onsite program activities in St. Paul, though administrative work can be done remotely in the Twin Cities. Required in-person training in mid-May with a start date in June or August. 

 

RESPONSIBILITIES

Program Management 

  • Provide hands-on support to Harmony Director, teaching artists, and students to ensure that program activities align with Harmony’s vision as well as GTCYS’ strategic goals and practices
  • Plan logistics, supervise, and attend all year-round Harmony activities, including school-year classes, performances, and summer activities
  • Lead with student recruitment, retention, and evaluation efforts to meet program goals 
  • Track student details and data, including registration info, demographics, and attendance 
  • Develop and lead student evaluation process in collaboration with faculty 
  • Help develop program policies and procedures, with an emphasis on equity and inclusion
  • Manage instrument and equipment inventory, repairs, records, storage, and transportation
  • Prepare and share program materials and communications in Spanish and English, and serve as primary point person with families
  • Assist with translation at Harmony events, including occasional live Spanish-English translation 
  • Serve as primary program liaison with Riverview and a new St. Paul site (coming in fall 2024)
  • Support the Harmony Director and staff in recruiting, hiring, and training Harmony faculty  
  • Help develop and lead teacher evaluation process in collaboration with the Harmony Director
  • Maintain clear and consistent communication with Harmony faculty, help uphold program policies and procedures, and foster an inclusive, positive culture 
  • Help plan and lead annual professional development activities, including bi-weekly faculty meetings
  • Fill in for teaching artists as needed
  • Coordinate Harmony’s private lessons and GTCYS’ Sponsored Lessons with families and teachers, and oversee onsite weekly lessons (currently Tuesday afternoons)
  • Recruit and oversee Harmony volunteers
  • Understand and adhere to GTCYS’ Child Protection Policy and any other policies set by GTCYS
  • Develop rapport with students, setting clear classroom expectations and positive culture and using a range of behavior management techniques for students’ varied needs and learning styles

 

Collaboration & Community 

  • Serve as a liaison with Harmony alumni/parents/guardians, guiding them through GTCYS’ audition and registration process and checking in regularly to help ensure their continued success in orchestra
  • Maintain open, clear channels of communication and collaboration with other GTCYS staff 
  • Help enhance relationships in partner communities to promote Harmony and heighten GTCYS’ visibility
  • Participate in staff meetings
  • Participate in GTCYS’ ongoing intercultural development initiatives

 

Administration

  • Track Harmony expenses and operate within the annual budget
  • Track and submit payroll for Harmony faculty and staff, meeting regular deadlines
  • Track program data and provide materials (photos, videos, etc.) for GTCYS’ use
  • Other duties as assigned

 

Required Qualifications

  • 3+ years of successful experience managing and implementing community-based youth programs and projects
  • Fluency in Spanish and English for bilingual written and spoken communications (not negotiable)
  • Experience as a musician (any genre) and ability to tune string instruments
  • Experience working with youth from varied backgrounds in a group or classroom setting
  • Strong interpersonal skills and adaptability with people of all backgrounds in diverse cultural settings
  • Commitment to fostering an inclusive and supportive environment with students and staff.
  • Flexibility to adapt to changing program needs and circumstances
  • Solid technology skills and proficiency with Microsoft Office (Word, Excel, Outlook) and Google platforms
  • Availability to work a flexible schedule, including occasional evenings and weekends in addition to Harmony mornings and afternoons
  • Understand and adhere to GTCYS’ Child Protection Policy and any other policies set by GTCYS
  • Must successfully pass a background check
  • Exceptional planning and implementing program logistics with strong organization skills and attention to detail
  • Access to reliable transportation to arrive on time to program activities and work commitments

COMPENSATION & BENEFITS

Salary is $46,000 - $50,000 depending on experience. Benefits include health insurance (70% paid by GTCYS), 

3% match to 401(k) plan, long term disability insurance, access to dental insurance, 15 PTO days, paid sick leave, paid holidays, and winter closure.
