Research Program Coordinator

We are seeking a Research Program Coordinator who will be primarily responsible for supporting the logistics of enrolling and tracking older adults participating in studies of influenza and COVID vaccination and other clinical research studies. This position will require working directly with older human subjects, and physician investigators, and require skills related to the development of research instruments (questionnaires, surveys, and data forms) necessary for study execution as well as testing and implementation of research protocols, obtaining informed consent, collecting and recording data, monitoring clinical course of patients enrolled in clinical studies/trials, and ensuring that research protocols are executed appropriately. This includes implementation of research protocols by recruiting and consenting study eligible individuals into studies, adhering to the IRB approved study designs and activities, and following study specific timelines. Laboratory duties, including some sample processing and routine laboratory assays will also be assigned per unit needs. Phlebotomy experience or willing to be trained in phlebotomy required. Experience in working with, or willing to be trained in, REDCap data capturing system is also required.

Specific Duties & Responsibilities
  • The RPC will recruit and enroll eligible participants into clinical protocols, maintain good working knowledge of all assigned protocols and reporting requirements, with a primary focus to support the clinical studies of influenza and COVID vaccination among older adults. 
  • Adhere to all protocol requirements to ensure the validity of the clinical research data.
  • Assist principal investigator and research program manager in defining information and plans required to accomplish goals of these studies.
  • Assist in the design and creation of protocol specific case report forms as needed.
  • Enter patient demographic and clinical data into institutional database systems as required and respond in a timely manner to special projects or queries related to the data.
  • Organize recruitment venues in outpatient clinics, assisted living facilities, senior centers, and then recruit subjects into the clinical protocol.
  • Perform home visits as necessary.
  • Perform phlebotomy (required) as part of this protocol; also, assist the Healthy Aging Studies Unit with blood draws during non-peak flu season.
  • The RPC will be involved in the administration of study procedures for clinical and home visits; handling all related procedures (i.e.) participant recruitment, enrollment, scheduling, data forms, and mailings; phone interviewer schedules; explaining study procedures to prospective participants and speaking with participants from previous studies, contacting potential subjects either by letter or phone, conducting baseline and follow-up interviews and questionnaires; working with electronic data capturing system (e.g., REDCap) on proper entry of collected data; performing related project tasks and support as necessary.
  • Lab duties may include specimen collection and delivery to labs; sample processing and assays; use of sample storage systems and related databases.
  • Assist with regulatory duties (e.g., IRB submissions)

Essential Job Functions
  • Efficiency, organization, and time management skills are essential to the position.
  • This individual must be able to use all standard personal computer work station programs, including Microsoft Word, Excel, and Access.
  • In addition, this individual must be able to submit investigator approved communications regarding multiple research studies with Hopkins IRB office through web-based program. Individual must be able to utilize standard telephone equipment and communicate clearly in English with potential subjects so that they understand research protocols that they may volunteer for.
  • In addition, this individual should have a personal automobile and driver’s license in order to travel to participants who are not able to come to the research campus and therefore must be visited at home by the clinical coordinator. Individual must also be able to work with biological samples, process them in the laboratory, and/or deliver them to the appropriate laboratories as part of these studies.


Minimum Qualifications
  • Bachelor's degree in related discipline.
  • Additional related experience may substitute for required education, tothe extent permitted by the JHU equivalency formula.
  • Experience in working with, or willing to be trained in, REDCap data capturing system is also required.
  • Phlebotomy experience or willing to be trained in phlebotomy required.
  • Reliable transportation and ability to perform home visits as necessary
  • Proficiency in the use of software applications (i.e. MS Access, Excel and statistical software programs, REDCap), databases, spreadsheets, and word processing required.
  • Excellent organizational skills and attention to detail skills required. Must have ability to manage multiple and competing priorities.
  • Must have excellent time management skills; oral and written communication skills and be able to work independently.


Preferred Qualifications
  • Phlebotomy skills.
  • Laboratory-based experience.
  • Proven ability to work with human subject samples.

Physical Requirements
  • Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard.
  • Handling by seizing, holding, grasping, turning or otherwise working with the hand or hands, but without finger dexterity.
  • Sitting in a normal seated position for extended periods of time.
  • Ability to move about.
  • Ability to drive a car.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing.
