Marketing Office Assistant

The Division of University Advancement is seeking a full-time Marketing Office Assistant to respond to inquiries and manage the needs that arise during the day-to-day operation.

Reporting to the Senior Director of Marketing and Brand Management, this position manages all administrative support needs for the Senior Director to include answering incoming calls, processing mail, managing calendars, coordinating travel and supporting both special projects and events. This position will manage the vtbrand@vt.edu email account which included assessing incoming requests and inquires, processing lockup logo requests and responding in a timely manner to emails with confirmation of receipt and next steps. This position will assist with processing contracts and invoices and assist with monitoring the budget and providing regular budget reports. Lastly, this position will manage university media ad sales by creating proposals, tracking ad artwork, identifying potential advertisers and reaching out to those advertisers via cold calling over the phone, in person or over email.

Many duties of the Marketing Office Assistant will require the monitoring of multiple deadlines simultaneously. To ensure the integrity and professionalism of the team is maintained, a high level of personal responsibility, attention to detail and confidentiality is required.
Required Qualifications
- Working knowledge of general office practices and procedure

- Working knowledge of procurement and purchasing policies and procedure

- Working knowledge of general accounting practices, including tracking expenditures

- Demonstrated proficiency in Microsoft Office platforms: Word, Excel, PowerPoint, and Outlook

- Demonstrated ability to provide a high level of customer service utilizing excellent interpersonal and communication skills, ability to interact professionally with faculty, staff, and students as well as external constituents, such as advertisers and vendors, to provide guidance, information, and resolve inquires.

- Excellent organizational skills
Preferred Qualifications
- Bachelor’s degree OR equivalent combination of training, education and/or experience

- Experience with project management and/or project management systems

- Prior program coordinator experience

- Sales experience

- Networking skills

- Proficiency with institutional software, such as Banner, HokieMart, and Chrome River.
