P230208 - Division I Assistant Athletic Director for Facility and Event Operations - Intercollegiate Athletics

Position Summary:             
The University at Buffalo Athletics’ Department is accepting applications for the position of Assistant Athletic Director for Facility and Event Operations. The incumbent will provide strategic leadership, direction, management, and supervision for all aspects of the department’s athletic facilities and event operations. The incumbent will directly supervise staff, determine staff functions, establish/develop operating policies and procedures, manage budgets, and assign resources. The incumbent will develop and implement policies and objectives related to athletics events and facilities, serve as an advisor to the athletics administration regarding applicable programs, management, and operations of the units with supervision and policy-making responsibility. As a member of the department’s Senior Staff, the incumbent will work collaboratively with other staff in the department, on campus, within the conference and nationally to provide best-in-class facilities and coordinate seamless events for student-athletes and the larger community. The incumbent will report to the Deputy Athletic Director-COO and work to provide leadership and advocacy for the student-athletes, coaches, and support staff while ensuring alignment with department and University policies, procedures, and values.

Duties and Responsibilities:
Supervise all athletics facilities functions, daily operations, game day and special events, and related personnel.
Provide unit leadership, personnel oversight, and ongoing professional development for two to three full-time facilities and operations staff and one shared operations staff member
Direct and supervise operations for all athletics game day and special events; coordinate with external operations staff to ensure high-quality guest experience at all events.
Responsible for hiring, training, scheduling and direction of the work of temporary event staff.
Develop and manage team of student employees to assist in successful execution of unit responsibilities.
Schedule use of all athletic facilities by department, university, and third-party users; maintain and coordinate master athletics facilities schedule
Coordinate scheduling and facility rentals for private sports camps an clinics and third-party rentals; partner with athletic business office to ensure timely invoicing, payment, and contract administration.
Develop and implement deferred and routine maintenance plans for all athletics and shared use facilities, working within allocated budgets; oversee and coordinate work of third-party contractors.
Oversee security for athletics facilities and events, working collaboratively with UB Police and third-party vendors.
Oversee the daily cleaning of athletics facilities and game day venues by managing the department’s relationship with University Custodial Services.
Liaison to University Grounds and sports turf maintenance; coordinate with athletes staff, university personnel, and third-party vendors as needed.
Develop and implement operational policies and procedures; manage six-figure unit budget and ensure compliance with applicable business policies; ensure timely completion of required departmental, institutional, state, and related paperwork.
Develop and coordinate submission of bids and conference and post season hosting opportunities for athletics teams.
Liaison to University Facilities, Space Planning and Parking and Transportation, Campus Safety, and related areas.
Develop and implement credential systems for athletics and special events.
Adhere to all NCAA, Conference, and University policies, rules, regulations, and operational procedures.
Perform other related departmental duties, as assigned.

Minimum Qualifications:
  • Bachelor’s degree in facilities management, sports management, business administration or related fields.
  • Three or more years of demonstrated success in facilities/events management or related fields.
  • Experience managing full-time, part-time and/or student staff.
  • Demonstrated ability to administer high-quality events.
  • Excellent organizational, management, communication and interpersonal skills.


Preferred Qualifications:
  • Master’s degree in facilities management, sports management, business administration or related fields.
  • Experience managing collegiate athletics facilities.
  • Experience leading and developing capital projects.
  • Experience managing athletics event operations on a University campus.
  • Experience leading a unit or team.
