Administrative Associate

The University of Nebraska at Omaha is seeking an
Administrative Associate
College of Arts and Sciences
Monday-Friday, 8am-5pm · $26.44-$29.62/hour · Eligible for Full Benefits
The Administrative Associate provides senior level administrative support for the dean, associate deans, and assistant deans in the College of Arts and Sciences. Position responsibilities include managing deans communications, correspondence, reporting, scheduling, travel arrangements, purchasing, and other varied administrative responsibilities as assigned. The role will provide assistance for all academic administrative needs for the college dean’s office. The position will develop knowledge and awareness of programs and important issues to identify potential problems or pitfalls, consider implications, evaluate priorities, and gather relevant information, and anticipate the administrative needs of the college leadership team whenever possible. Additional responsibilities include, but are not limited to, assisting with the development of proposals, grants, and other reports, coordination of the reappointment, promotion, and tenure process, coordination of education policy processes, assisting the dean with coordination of the college advisory committee to include awards, faculty development fellowships, college meetings, college legislation, etc., and coordination of the annual review of faculty and department chairs. This role will also serve as the event coordinator for events hosted by the dean and/or sponsored by the dean’s office as needed. A high level of discretion, professionalism, customer service, and confidentiality are required at all times.
Minimum Qualifications:                                                                                                                      
·      Bachelor’s degree
·      Three years of progressively responsible experience in administrative functions in an office setting including calendaring, scheduling, writing, and correspondence.
·      Proficiency or ability to become proficient in utilization of relevant university systems such as Firefly, PeopleAdmin, E-Shop, SAP, MavLink, MavGrants, Concur, Watermark Faculty Success, DocSign, Qualtrics and Zoom.
·      Will consider a combination of education and work experience.
