Executive Assistant to the CEO

Ready to be the engine behind a legacy? For more than 50 years, P.B. Bell has been shaping multifamily communities across Arizona — and we're looking for an Executive Assistant who wants to be right at the center of the action. This is a hands-on, highly visible role at the core of our corporate office, working directly alongside the CEO and our leadership team. What makes this role unique: alongside traditional executive support, you'll help shape our CEO's professional presence and build the brand and image of a multifamily acquisition fund we recently launched. What You'll Do: 

Executive Support

  • Manage the CEO's complex calendar, scheduling, and appointments
  • Screen and prioritize emails, calls, and correspondence on the CEO's behalf
  • Prepare agendas, briefing materials, presentations, and reports
  • Coordinate occasional travel logistics — flights, hotels, ground transportation
  • Manage expense reporting, reconciliation, and budget tracking
  • Anticipate needs and solve problems before they become problems

Brand & Communications

  • Help build and manage the CEO's professional social media presence
  • Shape the brand and image of our recently launched multifamily acquisition fund
  • Bring strong writing skills and good instincts for tone, voice, and brand consistency
  • Use AI tools confidently to support content creation, research, and day-to-day efficiency

Leadership Team Support

  • Coordinate materials for leadership meetings — agendas, pre-reads, action items
  • Support leadership scheduling and ad hoc project coordination

Communication & Relationships

  • Serve as a professional extension of the CEO with clients, partners, and staff
  • Build trusted relationships across the organization
  • Exercise sound judgment on what needs leadership attention vs. what you can own yourself

Office Operations

  • Oversee daily office functions: supplies, equipment, facilities, vendors
  • Maintain organized filing systems (digital and physical)
  • Coordinate leadership offsites, executive meetings, and company events alongside our Culture Club
  • Manage subscriptions, licenses, and vendor contracts

What You Bring

  • A degree (or upcoming graduation) in Marketing, Communications, Business, or a related field
  • Strong writing skills and a good sense of tone, voice, and brand
  • Experience and confidence using AI tools to work smarter and faster (e.g., drafting, research, content creation, scheduling support)
  • Sharp organizational instincts and the ability to juggle competing priorities with minimal direction
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams)
  • Discretion — you handle sensitive information like the pro you are
  • Comfort working directly with ownership and senior leadership
  • High EQ and professional maturity
  • Internship or prior experience supporting an executive, office, or brand/social media function is a plus (not required)
