Job Purpose

The Special Events and Donor Relations Coordinator plans, coordinates and implements School of the Arts activities related to fundraising, donor stewardship, and constituent engagement; including special events presented by the Office of the Dean. Works with the School of the Arts donors and volunteers to plan and implement activities tied to the School of the Arts Council. Works with faculty and staff in the school’s departments to coordinate and manage the distribution of scholarships and awards within the school. Works with the Chief Recruitment Officer, Financial Aid and Admissions to ensure student applicants meet eligibility criteria and stewardship goals, ensures that the award process is completed through CSAS (Cougar Scholarship Award System). Serves as a resource for faculty and staff regarding Foundation policies and procedures.

Provides reporting to the Dean and manages Foundation accounts for the School of the Arts. Works closely with the Dean to manage the priorities and funding goals for the Dean’s Excellence Fund (approximately $65,000 annually) which is tied to the school’s annual membership group (Friends of the School of the Arts). Works with Director of Marketing and Communications to publicize special events and donor-centered content. Works with the School of the Arts volunteer council and the Assistant to the Dean to coordinate and manage regular meetings throughout the academic year.

Minimum Requirements

Bachelor’s degree or a minimum of two years of related experience in the areas of the arts, event management, and/or development.

Master’s degree preferred. Education and/or experience in the performing/creative arts and/or arts management are strongly preferred. Candidates with an equivalent combination of experience and/or education are encouraged to apply.

Required Knowledge, Skills and Abilities

Strong understanding/knowledge of Federal, South Carolina and College of Charleston Foundation laws, policies and procedures and best practices pertaining to development, donor stewardship, and fund management is required. The ability to coordinate complex administrative/management activities is essential. Knowledge and skill in planning, developing and implementing special events required. Ability to create a welcoming, inclusive environment and to establish and maintain effective working relationships with students, faculty/staff and constituents along with the ability to supervise others and to shift priorities in a fast-paced, deadline-oriented workplace is required. Knowledge of Raiser’s Edge and CRM software required.

Demonstrated ability to express written and verbal thoughts with clarity and to share appropriate information/actively listen to and seek information from others is necessary.

Additional Comments Regarding Position

Requires some evening and weekend hours.

Activity

Supports the School of the Arts’ fundraising and development by planning a complex array of stewardship, acknowledgement, donor cultivation and special event activities. Works with staff, volunteers, donors, students and alumni to coordinate and implement programs and activities for the School of the Arts Council and the Friends of the School of the Arts. Coordinates the production of special events throughout the year for donors at various giving levels as well as special student and alumni events hosted by the Dean’s Office. Responsible for planning, coordinating and implementing additional special programs and projects as assigned and for providing oversight of staff and volunteers working on these teams. Responsible for implementing new alumni engagement practices and events for cultivation. Coordinates regular meetings of the School of the Arts Council and works closely with the Assistant to the Dean to ensure meetings run smoothly. Responsible for communicating clear goals to each committee of donor volunteers and executing an annual plan for each. Provides support to Council volunteers to achieve success in Council-led initiatives. Manages other duties as assigned by the Dean.

Activity

As the scholarship liaison for the School of the Arts is responsible for monitoring compliance with and overseeing appropriate execution of scholarship and award agreements. Coordinates work with the Dean’s Operations Manager and Chief Recruitment Officer, Chairs and Directors, Financial Aid, Institutional Advancement and faculty/staff to formulate and administer policies for distributing funds to students. Oversees student acknowledgement to donors and, working with the Director of Development, creates stewardship events connecting donors with students. Oversees student compliance with scholarship/award criteria. Manages scholarship and award budgets and related funds as well as the application process for complex, school-wide funds. Responsible for monitoring and executing renewed scholarships and serves as the direct contact between Financial Aid and the School of the Arts’ academic divisions. Manages the process of awarding scholarships through CSAS for all academic departments within the School. Works with the Chief Recruitment Officer to manage the School of the Arts Merit Award process.

Activity

Responsible for monitoring the School of the Arts’ Foundation accounts, preparing deposits and reimbursement requests for selected Foundation Accounts. Distributes pertinent data to the Dean, Associate Dean and Chairs and Directors as needed. Monitors disbursements from the Dean’s Excellence Fund. Manages School of the Arts memberships within the community, i.e. Spoleto Festival USA, Charleston Gaillard Center, Charleston Symphony Orchestra.

Activity

Prepares and disseminates information concerning special events/projects and facilitates the maintenance of a strong social media presence in collaboration with the Director of Marketing and Communications. Develops membership materials and other information in coordination with the Director of Marketing and Communications. Maintains the contact list for the School of the Arts Council and volunteers to be sure they are included in marketing and newsletters sent by the school. Assists the Director of Marketing in maintaining the current information for upcoming special events and ensuring information is accessible to the campus community and public through the School of the Arts’ website. Prepares a monthly newsletter for the Friends of the School of the Arts and develops other digital media for use as part of the school’s marketing plan.
