Marine HR Manager
Interlake Steamship Company is seeking a full-time Marine HR Manager responsible for overseeing marine human capital to support operations in a 24-hour-a-day, seven-day-a-week maritime industry. The Marine HR Manager works closely with all areas of the organization to ensure HR compliance, contract administration, recruitment, crewing, training, and assistance to mariners in coordinating travel, expense reimbursements, and license renewals are met, using discretionary decision-making authority to solve day-to-day problems associated with managing all aspects of marine personnel. The Marine HR Manager also provides assistance to marine operations management on an as-needed basis.
Essential Duties and Responsibilities
- Handles HR matters concerning manning of vessels with qualified, certified, and medically fit personnel for the assigned group
- Participates in recruiting events and assists in the hiring of individuals as required to crew vessels and consistent with US Coast Guard license requirements and EEO commitment
- Ensures NS and ADP databases are fully updated for the assigned group
- Ensures mariners' licenses and certificates are up to date
- Assigns work schedules to marine employees with a focus on long-term planning to ensure optimum utilization and cost efficiency and manages vacation and illness relief for marine employees
- Coordinates flights, hotels, and rental cars for marine employees in accordance with policy
- Processes travel expenses and reimbursement for marine employees
- Serves as Designated Employer Representative for Drug and Alcohol testing and ensures compliance with Drug and Alcohol policy and program
- Coordinates special payroll situations in accordance with the union Contract between the marine employees and the payroll department
- Participates in regular vessel visits
- Participates in internal and external audits
- Actively participates in process improvements and implementations concerning marine HR
- Contributes to establishing and developing marine HR KPI's
- Actively contributes to enhancing mariner satisfaction
- Maintains Seniority lists
- Identifies and ensures mariners are in compliance with training
- Identifies and coordinates training as necessary
- Assists and counsels marine operations leadership on matters of conduct, discipline, performance, and performance evaluations
- Oversees Labor Contract administration
- Performs other projects as assigned
Qualifications / Requirements
- 3–5 years of human resources, HR generalist, or related professional experience, or an equivalent combination of education and experience
- Strong customer service, communication, and interpersonal skills
- Knowledge of employment laws and regulations, including Equal Employment Opportunity (EEO) hiring and disciplinary practices
- Ability to build and maintain effective working relationships with employees, managers, and external partners
- Ability to interact professionally and tactfully with individuals from diverse backgrounds
- Strong organizational, time management, and prioritization skills
- Ability to manage multiple projects, adapt to changing priorities, and work effectively under pressure
- Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook
- Experience using ADP, NS software, and Concur Travel
- Bachelor's degree in Human Resources, Business, or a related field preferred
- Experience working in a union environment is a plus
- Graduation from a maritime academy is a plus
Physical & Work Requirements
- Ability to safely access vessels by climbing ladders, transiting bulwarks, and navigating marine facilities.
- Ability to climb stairs, bend, stoop, reach overhead, and work indoors and outdoors in varying weather and environmental conditions.
- Ability to lift and carry up to 25 pounds.
- Must comply with all required personal protective equipment (PPE) policies, including wearing steel-toed footwear, personal flotation devices (PFDs), hearing protection, and safety glasses when required.
- Willingness to work overtime, weekends, and occasional travel as business needs require.
