Position Summary

Norel Service Company, Inc. is seeking a dependable and detail-oriented Human Resources Records Intern to assist with a companywide employee-record digitization and HR administration project.

The primary focus of this paid internship will be preparing, scanning, reviewing, naming, organizing, and securely uploading physical employee records into established digital employee files. The intern will also assist with file audits, identify missing or incomplete documents, support HRIS implementation and data-entry activities, and provide general onboarding and HR administrative support as needed.

This internship is appropriate for a current college student or recent graduate interested in gaining practical experience in human resources, employee-record management, HR compliance, and HR information systems.

The position is fully in person at Norel’s Littleton, Massachusetts office and reports directly to the HR Manager. The intern may support records and HR projects for Norel and its affiliated company, NSG Life Safety, which are under common ownership.

Essential Responsibilities

Prepare physical employee files for scanning and digitization.

Scan employee documents and verify that scanned copies are complete, legible, and properly oriented.

Name and organize electronic documents according to established HR filing and naming conventions.

Upload documents securely into the appropriate digital employee folders.

Compare physical and digital employee files against established HR file checklists.

Identify and track missing, incomplete, duplicate, illegible, or potentially misfiled documents for review by the HR Manager.

Organize and maintain physical employee files during the digitization process.

Maintain an accurate project tracker showing files completed, documents uploaded, and outstanding issues.

Assist with HRIS implementation, employee-data entry, document migration, and record validation.

Support onboarding activities, including preparing new-hire documents and organizing completed onboarding records.

Assist with other HR administrative projects as assigned.

Maintain strict confidentiality regarding employee, payroll, benefits, medical, disciplinary, and other sensitive company information.

Follow all company data-security, document-retention, and records-handling procedures.

Immediately report any missing records, incorrect uploads, confidentiality concerns, or data-security issues to the HR Manager.

Qualifications

Current college student or recent graduate.

Interest in human resources, business administration, management,, information systems, organizational leadership, or a related field.

Strong attention to detail and ability to perform repetitive work accurately.

Professional judgment and ability to maintain strict confidentiality.

Strong organizational and time-management skills.

Basic proficiency with computers and electronic document management.

Ability to follow established procedures and ask questions when information is unclear.

Dependable attendance and reliable transportation to the Littleton office.

Prior office, administrative, records-management, or human resources experience is preferred but not required.

Experience using scanners, Microsoft OneDrive, Microsoft Office, Adobe Acrobat, PDF software, or similar document-management tools is preferred.

Schedule and Duration

This is a temporary, part-time internship expected to average approximately 20–25 hours per week.

The schedule may be arranged around the intern’s academic commitments but must fall within regular business hours, generally between 8:00 a.m. and 6:00 p.m., Monday through Friday, when the HR Manager is available onsite.

The internship is expected to last approximately 12–16 weeks or until the employee-record digitization project is substantially completed. The internship may be extended based on project needs, performance, and company approval, but continued employment is not guaranteed. The total anticipated duration will generally not exceed six months.

Physical Requirements

Ability to sit or stand for extended periods while scanning and organizing documents.

Ability to use a computer, scanner, keyboard, and other standard office equipment.

Ability to frequently handle paper files, folders, and document boxes.

Ability to lift, carry, and move file boxes weighing up to approximately 30 pounds, with or without reasonable accommodation.

Compensation and Benefits

This is a paid, nonexempt internship at $20.00 per hour. The intern must accurately record all hours worked and obtain advance approval before working beyond the approved schedule.

As a temporary, part-time position, the internship is generally not eligible for the company’s regular employee benefit plans, except for benefits or leave required by applicable law.

Academic credit may be supported when requested by the intern and approved by the intern’s educational institution. Receiving academic credit does not replace hourly compensation.

Confidentiality

This position involves access to confidential employee and company information. The selected candidate will be required to sign confidentiality and data-security acknowledgments and follow all company policies concerning employee records, personal information, system access, and secure document handling.

The intern will not independently make decisions regarding employee discipline, investigations, accommodations, benefits eligibility, employment status, legal compliance, or destruction of company records.
