HR Administrative Assistant


HR Administrative Assistant needed for an award-winning financial institution

Schedule: Monday - Friday, 8 AM – 5 PM

The HR Administrative Assistant provides essential administrative and operational support,  focusing heavily on document management, onboarding and offboarding processes, and maintaining accurate employee records across various systems. The coordinator will also assist with day-to-day tasks such as preparing new hire paperwork, updating files in OnBase, and supporting payroll changes. Essential Duties and Responsibilities  

Manage a high volume of HR documentation, including scanning, uploading, and maintaining employee files within OnBase and other internal systems. 

Assist with HR related administrative tasks

Provide day-to-day administrative support to the HR team, including data entry, tracking employee information, and maintaining internal records. 

Coordinate new hire logistics such as ordering business cards, preparing orientation materials, and supporting first-day readiness. 

Help ensure HR processes run smoothly by monitoring task lists, following up on outstanding items, and supporting compliance with internal procedures. 

Assist in maintaining and improving onboarding, offboarding, and documentation workflows during periods of rapid growth and organizational change. 

Collaborate closely with HR leadership to support department priorities and take on special projects as needed. 

Act as a reliable, detail-oriented resource for employees by responding to basic HR inquiries and directing more complex questions to the appropriate team members.

Qualifications  

Strong organizational skills with the ability to manage high volumes of documents and tasks in a fast-paced environment. 

Detail-oriented and thorough, with the ability to follow established processes and maintain accurate records. 

Comfort working independently on heads-down administrative work while meeting deadlines. 

Familiarity with HR systems or document management platforms (experience with OnBase is a plus). 

Reliable, proactive, and eager to learn new HR processes and tools. 

Strong communication skills and professionalism when interacting with employees and new hires. 

Ability to handle confidential information with discretion and good judgment. 

Basic proficiency in Microsoft Office and/or Google Workspace. 

Flexible and adaptable, especially in environments undergoing rapid growth or organizational change.
