POSITION: Seasonal Accounting Assistant Intern
POSITION REPORTS TO: Controller/COO/AGM
POSITION PURPOSE
The Accounting Assistant Intern supports the day-to-day financial and accounting operations of the Club while gaining hands-on experience in private club accounting and financial management. This internship provides exposure to accounting systems, financial reporting, internal controls, and budgeting processes within a private golf club environment.
The intern assists the Controller and accounting team with routine accounting tasks, data entry, reconciliations, and reporting support. This role is designed to build practical skills in accounting, financial analysis, and professional communication while maintaining strict confidentiality and accuracy in all financial matters.
This position is ideal for a student or recent graduate pursuing a degree in Accounting, Finance, or a related field who is interested in hospitality or private club financial operations.
Professionalism, attention to detail, willingness to learn, and strong organizational skills are essential to success in this role.
KEY RESPONSIBILITIES
Accounting & Financial Operations Support
- Assist with high-volume accounting functions during peak season, including accounts payable, accounts receivable, and member billing.
- Help process invoices, member charges, vendor payments, and cash receipts.
- Support payroll preparation and data entry during weekly and bi-weekly payroll cycles.
- Assist with bank, POS, and account reconciliations under the direction of the Controller.
- Maintain organized and accurate accounting records and documentation.
- Assist with internal control procedures and ensure proper filing and record retention.
Budgeting & Financial Analysis Support
- Assist with preparation of budget-to-actual reports and variance tracking.
- Help gather data for annual operating and capital budget development.
- Support financial forecasting and analysis projects as assigned.
- Learn to review departmental expenses and assist with cost tracking.
Reporting & Administrative Support
- Assist in preparing financial reports for management and committees.
- Compile data for monthly and quarterly.
- Assist with state filings, local tax documentation, and regulatory reporting as needed
Audit, Tax & Compliance Support
- Assist with preparation of schedules and documentation for external audits (e.g., 401k, Workers’ Compensation).
- Help maintain audit-ready documentation and organized financial records.
- Learn compliance requirements related to club financial policies and procedures.
Systems & Technology Exposure
- Assist with data entry and reporting in the club’s accounting and POS systems (e.g., Jonas, ADP).
- Support system maintenance tasks such as report generation, user access tracking, and data accuracy checks.
- Participate in process improvement and automation initiatives where appropriate.
Payroll & Human Resource Support
- Assist with payroll data entry, reporting, and reconciliation under supervision.
- Support benefits billing reviews and basic reconciliation tasks.
- Help prepare reports related to compensation and benefits planning.
Collaboration & Professional Development
- Work closely with the Controller, COO, AGM and other departments to support club operations.
- Participate in special accounting projects and financial analyses.
- Develop professional communication skills through interaction with management and staff.
- Maintain confidentiality and uphold ethical standards in handling member and club financial information.
QUALIFICATIONS
- Currently pursuing or recently completed a degree in Accounting, Finance, or a related field.
- Availability to work during the golf season, including peak months and potential weekends as needed.
- Basic understanding of accounting principles and financial statements.
- Proficiency with Microsoft Excel and general computer applications.
- Strong attention to detail, organizational skills, and eagerness to learn.
- Ability to work collaboratively and follow instructions in a professional environment.
- Interest in hospitality, private clubs, or service-oriented organizations preferred.
PHYSICAL REQUIREMENTS
The Accounting Assistant Intern role is primarily office-based and includes:
- Sitting or standing for extended periods.
- Extended periods of computer use.
- Occasional standing, walking between departments, or lifting files/materials up to 20–30 pounds.
- Communicating effectively in person, by phone, and in writing.
