About the role Be the friendly first point of contact at a boutique, tax-forward retirement & wealth advisory. You’ll keep phones, calendars, and client reviews running smoothly, call carriers/companies, and pre-fill/complete application & review documents with clients (including e-signature) so client reviews and new client applications are accurate and on time.
What you’ll do
- Answer and return calls during coverage hours; capture crisp notes and next steps.
- Schedule prospect calls, client reviews, and Zooms; keep calendars clean (no double-books).
- Prep meetings: agendas, review packets, Zoom/room readiness.
- Carrier outreach (Athene, Delaware Life, Allianz, EquiTrust, F, Lincoln): request statements, values, surrender schedules/MVA, riders/fees, RMDs, beneficiary confirmations, illustrations; track to completion.
- Applications & review documents (with clients): pre-fill and complete all forms; prepare carrier/custodian paperwork; manage e-signature end-to-end; ensure accuracy so no re-signs are needed.
- Documentation & filing: scan/e-file same day; follow naming conventions; keep audit-ready folders.
- CRM hygiene (Levitate/TBD): same-day notes and next steps; birthdays/anniversaries maintained.
- Social & compliance: submit posts/docs for approval, process redlines, archive approvals, schedule/publish.
- Light office admin: supplies, mail, birthday/thank-you cards; keep the front desk welcoming. Schedule & pay
- Client workflow and data tracking, reporting, and process improvement support
• Seminar tracking and analysis, including registrations, attendance, cancellations,
appointment set rates, show rates, and conversion metrics, plus identifying trends and
recommended improvements
• Social media management and performance tracking, including post cadence, engagement
metrics, and progress reporting
• Email campaign execution and analysis, including monitoring performance metrics and
making data driven adjustments
• Office administration support as needed, including scheduling, document preparation, and
coordination tasks
• Additional responsibilities may be assigned based on business needs and your strengths
Set hours:
- Mon & Wed, 10:00 AM–4:30 PM (on-site)
- Flexible hours: Tue/Thu/Fri to reach 20 - 25 hrs/week
What you bring
- Personality: professional, friendly, warm, upbeat, well-tempered, client-first
- Skills: excellent phone presence; strong grammar & note-taking; fast with computers; detail-oriented; self-starter; comfortable guiding clients through application/review documents and e-signature; meticulous with form/data entry, expertise or degree in analysis
- Experience: 1–3+ years in client service/admin/ops/data analysis (financial-services & carrier calling are pluses) Tools we use Word/Excel, Zoom, Levitate CRM, Gamma, Zocks, Zapier, Loom, Forms Logic (plus shared drives & PDF tools)

- Most calls answered live during coverage; missed calls get a ~1-hour callback
- No double-bookings; calendar changes entered the same day
- Every client touch has a same-day CRM note and clear next step
- 90% of standard carrier items received within 10 business days; review packets complete on time
- Applications paperwork done right the first time — no mistakes, no re-signs
- Compliance items move quickly; approvals archived
- Visible follow-through—when you commit, you close the loop and confirm completion
- Clean analysis - ability to process large amounts of data and create clear outputs
