Executive Assistant/Coordinator

Location: Hybrid Remote- Los Angeles or Southern California

Job Type: Full-Time


 

Description:  

The Initiative Group is seeking a highly organized, proactive Executive Assistant/Coordinator to support our fast-paced public relations team. This role is ideal for someone who thrives in the entertainment and media space, can anticipate needs before they arise, and is comfortable managing multiple priorities at once.

This is a hybrid position based in Los Angeles or Southern California, with required in-person client coverage and event support as needed.

The Executive Assistant will provide high-level administrative and operational support to partners and senior publicists while assisting with day-to-day client management. This role requires discretion, exceptional organizational skills, strong written communication, and the ability to work both independently and collaboratively in a deadline-driven environment.


 

Responsibilities:

  • Manage complex calendars, scheduling, and high-volume email and phone correspondence
  • Coordinate client logistics for press events, media interviews, photoshoots, and appearances
  • Create and maintain client schedules
  • Provide day-to-day support for clients and colleagues
  • Maintain digital files and press kits
  • Monitor media coverage and service clients with digital press breaks 
  • Draft and edit memos and press materials (client bios, press kits, etc.) for approval by senior team members
  • Daily administrative tasks (updating client files, press lists, etc.)
  • Liaise with counterparts in both New York and Los Angeles
  • Provide in-person client support at events and appearances
  • Support ad hoc projects and special initiatives as needed

Qualifications:

  • Bachelor’s degree preferred
  • 1–3 years of experience in Public Relations, Communications, Marketing, or a related field (internship experience considered)
  • Equivalent combinations of education and experience will be considered
