Temporary Grant Secretary

General Description:

  • This is a grant funded position; continuation of this position is contingent upon grant funding.
  • Reports to the SSS TRIO Program Director.
  • The Grant Secretary performs a variety of confidential and complex administrative duties requiring independent judgment and initiative in support of the Director and program staff.
  • May be required to work occasional nights and weekends.

Duties:

  • Provide administrative support to program staff to include participant recruitment, selection, and service delivery.
  • Assist Director with reconciliation of program budgets. Submit monthly budget reports.
  • Maintain program files and review for completeness.
  • Assist program staff with maintenance of program database.
  • Adhere to and provide feedback on policies and procedures to ensure efficient office/program operations.
  • Perform other duties as assigned.

Required Qualifications:

  • High school diploma or equivalency.
  • Ability to manage multiple deadlines, tasks, projects, and assignments with minimal supervision.
  • Experience with budget management/reconciliations.
  • Ability to develop and maintain accurate and comprehensive records and files.
  • Effective writing and speaking skills.
  • Experience with computer software (Microsoft suite) and database management platforms.

Preferred Qualifications:

  • Bachelor’s degree.
  • 1-2 years’ experience in complex secretarial or administrative work in a fast-paced environment.
  • Experience working with federally funded programs or projects.
  • Bilingual candidates with Spanish proficiency.
  • Experience working with excel and or SAP to reconcile budgets, enter Purchase orders, requisitions, and other financial documents.
