Operations Coordinator

Position Overview:  
Agassiz Village seeks a highly organized, compassionate, and proactive Operations Manager to ensure smooth and efficient operations during our 8-week summer camp program. This behind-the-scenes yet highly visible role oversees the business functions of camp—including finance, human resources, food services, and risk management—and plays a vital part in creating a safe, joyful, and mission-aligned experience for campers and staff.  

The Operations Manager help coordinate meal services, maintenance and laundry staff, and supports all aspects of staff onboarding, certifications, time-off scheduling, and payroll. This role also manages supply ordering, maintenance requests, and supports daily camp logistics. Strong computer skills, excellent communication, and a customer service mindset are essential.  

  

Key Responsibilities  

Human Resources & Staff Support  

Facilitate staff onboarding: I-9 completion, payroll enrollment, and direct deposit setup.  

Field payroll questions from staff and assist the Executive Director in gathering any necessary information needed for payroll.  

Coordinate staff and camper evaluations, surveys, and forms  

Manage staff time-off requests and schedule time-off activities in collaboration with the Assistant Operations Manager.  

Maintain and update the health inspection binder; track staff certifications  

Plan and support team-building activities during staff training and throughout the summer  

Ensure timely completion and filing of incident reports; review during leadership meetings  

Recognize and celebrate staff contributions by creating and implementing a summer-long staff appreciation program  

Foster a calm, supportive presence across all staff interactions  

Facilities & Maintenance Oversight  

Supervise maintenance and laundry staff; ensure daily cleaning of camper and staff areas  

Monitor laundry service to prevent loss of camper clothing  

Coordinate cleaning days between camp sessions  

Field maintenance requests and collaborate with the Facilities Director to ensure timely completion  

Promote a clean, well-maintained camp environment  

Food Service Coordination  

Serve as daily liaison to the chef; communicate schedule changes and order supplies  

Suggest menu adjustments as needed  

Track meals served for USDA grant-related documentation.  

Ensure counselors set up and clean up meal areas appropriately  

Administrative & Logistical Support  

Sort and distribute summer staff mail  

Answer camp phones, take messages, and relay information to appropriate staff  

Act as driver, and run errands and transport campers/staff as needed (including trips to the Social Security office for international staff)  

Support Directors with accounting tasks, including receipt and invoice management  

Order program supplies via Amazon, Walmart, or other vendors  

Assist the Admin, Camp Director, and Executive Director with additional tasks to ensure smooth camp operations  

Camper Experience  

Contribute to a meaningful, fun, and safe experience for all campers  

Step in wherever needed to support the overall success of the summer program  

  

Qualifications  

Prior experience working in a camp or youth-serving environment preferred  

Exceptional interpersonal skills and ability to build relationships with youth, young adults, and families  

Proven capacity to provide emotional support across a range of ages  

Working knowledge of ACA guidelines preferred  

Valid driver’s license required

Contract Dates: June 14, 2026 – August 7, 2026. This position is required to live on site at 71 Agassiz Village Ln. Poland, ME 04274  

Salary: $6,400 for the full length of the contract.  Included with your salary: 

Accommodation is provided for the full contract.  

Food is provided for the full contract.
