Sales Coordinator Representative
The Sales Coordinator plays an important role in supporting the Regional Sales Managers and Project Managers by streamlining the administrative, pre-sales, and order processing phases of the sales cycle. This position is essential for enabling the sales team to focus on relationship building, new client acquisition, and closing sales for our interior design acoustical wall and ceiling products.
Key Responsibilities: Sales Support & Administration
- Provide comprehensive administrative support to the sales team, including following up on marketing generated leads, qualifying leads and handing off to Relationship Managers, and organizing sales materials.
- Manage client and project data within the CRM (Hubspot) and ERP (Epicor) systems to ensure accuracy and timely updates.
- Coordinate follow-up communications on sample requests, project lead times, quotes to advance projects through the pipeline.
- Serve as a key internal resource, managing a high volume of digital communication to support our sales team.
Quoting & Estimating Coordination
- Work closely with the internal estimating team on quote requests, gathering necessary project details and documentation.
- Assist in the creation of initial non-binding "Rough Order of Magnitude" (ROM) and formal quotes, ensuring accuracy on product specifications such as felt colors, acoustic wood textures, and custom dimensions.
Order Processing & Project Handoff
- Process and manage sales orders, including generating necessary internal paperwork and coordinating the transition of a sold project to the Project Management and Production teams.
- Maintain and update project tracking tools (e.g., Trello cards) with all required information (drawings, specifications, change orders) to ensure a smooth transition from sales to fulfillment.
- Address and resolve general administrative or process issues related to open orders, acting as an internal liaison for the sales representative.
Qualifications:
- Proven experience in a sales support, sales coordinator, or administrative role, preferably within the commercial design, architecture, construction, or manufacturing industry.
- Exceptional organizational skills and a meticulous attention to detail, especially with regard to data entry, documentation, and managing multiple priorities.
- Proficiency in CRM software (like Hubspot) and experience with ERP systems (like Epicor) or project management tools is highly desirable.
- Excellent written and verbal communication skills.
- Ability to read or interpret architectural drawings or specifications is a strong plus.
- Familiarity with interior design products, particularly custom architectural systems, acoustical treatments, or wall/ceiling finishes is an asset.
