HR & Payroll Intern

POSITION SUMMARY

The HR and Payroll Intern will assist the Finance Department with Human Resources (HR) and Payroll operations, as well as special projects aimed at enhancing efficiency and service delivery. This role provides hands-on experience in HR administration, payroll processing, compliance, and process improvement initiatives.

 

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

  • Assist the Finance Department with performing a wide range of HR and payroll-related projects to ensure regulatory compliance.
  • Provides support in recruitment activities, including preparing applicant correspondence, scheduling interviews, and preparing materials for the interview panel.
  • Assist with onboarding activities, including preparing new hire packets and completing orientation items.
  • Assists with updating, developing, and implementing personnel policies and procedures. 
  • Assist in updating and maintaining paper and electronic personnel files, and the transfer of HR and payroll files into the organization’s electronic Laserfiche system to improve efficiency and accuracy.
  • Contribute to process improvement initiatives such as digitizing HR and payroll forms, streamlining workflows, and researching best practices.
  • Assist in drafting, reviewing, and updating employee communications related to HR policies, programs, and initiatives.
  • Provide support for HR-led events and employee training sessions.
  • Assist with data entry and configuration with the Human Resources Information System (HRIS).
  • Collaborate with cross-functional teams to meet project milestones.
  • Support payroll reconciliations and audits through accurate documentation and record-keeping.
  • Contribute ideas to improve processes and enhance the overall internship experience.
  • Perform other duties as assigned.

 

KNOWLEDGE, SKILLS, AND ABILITIES

  • Ability to develop and maintain positive and effective working relationships with employees, contractors, consultants, and the general public while displaying political agility and discretion.
  • Knowledge of human resources and payroll functions, policies, and procedures, as well as Federal, State, and local laws.
  • Ability to handle confidential information with discretion.
  • Strong organizational and time management skills with attention to detail
  • Effective oral and written communication skills.
  • Proficiency in Microsoft Office applications, including, but not limited to Outlook, Word, Excel, and PowerPoint.
  • Ability to work independently and complete work assignments accurately and on time.

 

MINIMUM QUALIFICATIONS

  • Graduated from or currently enrolled in a college or technical school pursuing a degree in Human Resources, Psychology/Sociology, Accounting, Finance, Business Administration, or a related field.
  • Experience with Microsoft programs, including Outlook, PowerPoint, Excel, and Word.
  • Ability to perform all essential duties of the position.

 

DESIRABLE QUALIFICATIONS

  • 2+ years of HR and/or payroll experience. 
  • Previous Adobe experience.

 

WORK SCHEDULE

The typical work hours for this position are 8 a.m. through 4:30 p.m., Monday-Thursday. 

 

SUPERVISION

Position does not have any direct reports. 

 

WORKING CONDITIONS

Environmental and Physical Conditions: 

Indoor and outdoor environments; exposure to computer screens; working closely with others; frequent interruptions. Possible exposure to inclement weather conditions, exposure to working with moving objects/vehicles. Duties require maintaining physical condition necessary for sitting, standing, walking for prolonged periods of time; kneeling, climbing, bending, and stooping, moderate lifting and carrying; general manual dexterity; adequate hearing, vision, and speech required; and must be able to operate assigned equipment and vehicles.
