Summer Camp Office Staff
Position: Office Staff
Classification: Seasonal
Reports to: Operations Director
Position Summary:
The Office Staff assists the Directors in furthering the mission of Wanakee by maintaining quality customer service and hospitality for campers, parents, retreat groups, and volunteers, while keeping accurate records of camper and retreat registrations, finances, and communications.
Key Responsibilities:
- Serve as the primary point person for camper registration.
- Manage cloud-based camp management software (Campdoc or other), including registration, refunds, donors, reports, database maintenance etc.
- Help with camper check-in during 8 weeks of summer camp (including Sunday afternoons).
- Act as a professional point of contact for parents and other stakeholders.
- Manage incoming communications by phone, email, mail etc., replying promptly and professionally.
- Maintain a welcoming atmosphere, host groups, and anticipate the needs of guests.
- Communicate weekly with families of first time campers.
- Office management/clerical work.
- Keep the office orderly, order supplies, and maintain equipment.
- Process bills, payment vouchers, and deposits with support of the bookkeeper..
- Other clerical tasks; filing, bulk mailings, etc.
- Support store administration (ordering etc.)
Other Job Duties:
- Participate enthusiastically in all camp activities, planning and leading as needed.
- Participate as a member of the camp staff team to deliver and supervise evening programs, special events, overnight, and other all-camp activities and camp functions.
- Other duties as assigned by the Directors, including assisting in other areas of camp.
Required Knowledge, Skills, and Abilities:
- Must be able to obtain First Aid/CPR certification (course offered to staff during training).
- Must be at least 18 years old.
- Ability to pass a criminal background check.
- Experience in database management, Microsoft Office (Word, Excel), Google Apps.
- Relational and hospitable with diverse families, volunteers, and staff.
- Exceptional attention to detail.
- Professional, enthusiastic telephone skills.
- Ability to thrive in a fast-paced, unpredictable summer camp office, self-starter.
- Able to maintain confidentiality of camp records.
- Ability to work on a team, relate and work well with others.
- Ability to accept guidance, direction and supervision.
Physical Aspects of the Position:
- Ability to effectively communicate orally and in writing.
- Some physical requirements of this position could be endurance including climbing, standing, swimming, some bending, stooping, and stretching. Requires eye-hand coordination and manual dexterity. Requires normal range of hearing and eyesight to record, prepare, and communicate appropriate camper activities/programs and the ability to lift up to 50 lbs. Willingness to live in a camp setting and work irregular hours delivering programs in the facility available. Operate with daily exposure to the sun and heat and varying environmental conditions.
Compensation and Benefits:
Starting Salary: $3,150 (Note: For international staff, this amount may be adjusted for applicable visa or agency fees.)
Room and board provided for the duration of the seasonal contract.
Bonuses available for obtaining and using lifeguard and/or ropes certification during the summer.
