Clinical Operations Assistant

Position Summary

We are seeking a Clinical Operations Assistant who will be the welcoming face and voice of Bespoke Primary Care. This role blends patient-facing hospitality with essential administrative and operational responsibilities. The ideal candidate is personable, organized, and passionate about healthcare and helping others.

This position is an excellent opportunity for pre-health students or early-career professionals interested in medicine, nursing, or other health fields. In addition to hands-on clinical office experience, the role includes mentorship and professional development directly from Dr Michael Richardson (current president of the Massachusetts Academy of Family Physicians). Opportunities include sessions on career growth, attending medical events, and learning how physicians engage with the media.


 

Key Responsibilities

Patient Experience & Front Desk Operations

  • Greet and check in patients with professionalism and warmth.

     
  • Answer phone calls, respond to inquiries, and schedule appointments.

     
  • Ensure the waiting area, front desk, and office remain organized and welcoming.

     
  • Maintain patient confidentiality and uphold HIPAA standards.

     



 

Administrative & Clinical Support

  • Provide clinical support to the physician during patient care activities, including assisting with exams, procedures, and general clinical operations as needed.
  • Process referrals, follow up on prior authorizations, and assist with patient communications.
  • Restock exam rooms and medical supplies; maintain overall office readiness.
  • Manage incoming and outgoing correspondence (emails, faxes, records).
  • Assist with practice marketing efforts and outreach to promote Bespoke Primary Care.

     

Optional / Growth Responsibilities

  • Support marketing initiatives such as community outreach and health promotion campaigns.

     
  • Create or edit content for social media and digital platforms (Instagram, website updates, newsletters, etc.).

     

Qualifications

Required

  • Exceptional interpersonal and customer service skills.

     
  • Strong organizational ability and attention to detail.

     
  • Professional communication (in-person, phone, and written).

     
  • Comfort with multitasking and learning new administrative systems.

     
  • Passion for healthcare and helping others.

     

Preferred

  • Prior experience in a healthcare, hospitality, or administrative setting.

     
  • Interest or background in marketing, communications, or media.

     
  • Experience with social media content creation or video editing tools (optional but valued).

Compensation & Schedule

  • Part-time, with flexible hours and potential to transition to full-time as the practice grows.
  • Salary is $20-22/hr
  • Hourly PTO accrual rate: 0.0385 hours per hour worked
  • Holiday pay when applicable
  • All part-time employees are expected to work a minimum of 18 hours per week to ensure consistent office coverage. Shift schedules are flexible and may be alternated between employees, but exceptions to this weekly commitment will be considered on a case-by-case basis.

Bespoke Primary Care – Employee Benefits

Hourly Pay

  • $20–$22 per hour, depending on experience and responsibilities.
  • All part-time employees are expected to work a minimum of 18 hours per week to ensure consistent office coverage. Shift schedules are flexible and may be alternated between employees, but exceptions to this weekly commitment will be considered on a case-by-case basis.

  • Part-time employees who work more than 40 hours in a single workweek will receive overtime pay at 1.5 times their regular hourly rate for all hours worked beyond 40.

     

Paid Time Off (PTO)

  • Hourly PTO Accrual Rate: 0.0385 hours of PTO earned per hour worked.

     
  • Accrual is proportional to hours worked, allowing flexibility for part-time schedules.

     
  • Example: For every 26 hours worked, 1 hour of PTO is accrued.

     

Holiday Pay

  • Paid only if regularly scheduled to work on the following major holidays:

    • New Year’s Day (Jan 1) – Office closed

       
    • Memorial Day (Last Monday in May) – Office closed

       
    • Independence Day (July 4) – Office closed

       
    • Labor Day (First Monday in September) – Office closed

       
    • Thanksgiving Day (Fourth Thursday in November) – Office closed

       
    • Christmas Day (Dec 25) – Office closed

       


 

Professional Mentorship

  • Receive one-on-one career mentoring sessions focused on pre-health and medical career development.

     
  • Opportunities to attend medical events, network with healthcare professionals, and gain insight into the daily operations of a concierge medical practice.

     
  • Learn how physicians interact with media, gaining unique exposure to healthcare communication and advocacy.

     
  • Volunteer, unpaid professional opportunities are available to support career growth for pre-health career individuals, including shadowing, project work, and participation in healthcare initiatives.

     

Additional Notes

  • PTO and holiday pay are pro-rated based on scheduled hours.

     
  • The practice reserves the right to send employees home early if patient volume is insufficient, office closure, inclement weather, or another unexpected event occurs. Hours worked in such cases will be recorded as actual hours worked.
