Scorecard

The Jr. Estimator is responsible for ensuring that bids are submitted accurately, maintaining subcontractor relationships through the bidding process, and ensuring a smooth project handoff to the Operations team.  The Jr. Estimator is a critical part of the Construction Team so that we are an “employer of choice” while maintaining the desired profitability targets.

Outcomes (how you will be measured)

Key Performance Indicators (KPIs)

  • Have subcontractors bids 2 days prior to the bid due date.
  • Schedule and coordinate project handoffs to the construction team within 1 week of signing bid. 
  • Coordinate all job handoff “binder” documents and information 1 day prior to handoff meeting.
  • Coordinate Job & Bid Applications for partner review 2 days prior to due date.
  • Answer emails within 1 business day. 
  • Answer future client calls within 1 business day. 
  • Follow-up with JOC PM’s weekly on bids that are outstanding.
  • Enter weekly metrics in all sheets/Copper.
  • Update Copper pipeline as required.


 

Responsibilities

  • Subcontractor Relationships: 
    • Attend subcontractor meetings/events to attract new subs.
    • Send out all RFB, initial bid communications, and introductory zoom calls with the subcontractors to see if they are interested in upcoming work.
    • Collect subcontractor proposals for bids in a timely manner as listed in KPI’s.
    • Find subcontractors/Get subcontractors prequalified. 
  • Project Scoping: 
    • Assist with scoping out new projects to determine which subcontractors should be on the bidding list.
    • Work with Project Executive to ensure all necessary trades are included in scope.  
    • Create project binder with all documentation for handoff meetings.
    • Schedule all handoff meetings within 1 week of bid signing. 
  • Municipalities Coordination & Communication
    • Collecting information & documentation for bid applications.
    • Prepare all bid application documentation and submit bids.
    • Following up on all outstanding bids with public entities.
  • Bonding:
    • Communicate with bonding agents for needed bid bonds/P&P bonds.
    • Generate Bonding AP report and provide monthly for finance team.
    • Provide PM’s with all project related bonding invoices.
  • Metric Tracking:
    • Update Copper regularly with subcontractors, clients, and projects
    • Maintain Sales pipelines in HubSpot
    • Run reports and provide pipeline and sales metrics through HubSpot or google sheet metric page. 
    • Report bonding amounts for outstanding invoices to the finance team.
  • Sales Team Meetings:
    • Be at all Sales Team meetings.
    • Coordinate or Attend site visit meetings.
    • Participate and engage in all Quarterly Sales meetings.
