Administrative Assistant

The Administrative Assistant will serve as receptionist, provide office administrative support for members, staff, and visitors, and foster a welcoming environment for all who visit English Lutheran Church.

Responsibilities:

  1. Serve as first point of contact for members and visitors, providing a warm, welcoming atmosphere.
  2. Maintain databases in ICON CMO, including membership records, mailing lists, class lists, attendance/communion records.
  3. Respond to requests for emergency financial assistance.
  4. Create and print bulletins and other materials for weekend worship, funerals, weddings, ensuring volunteers have information needed.
  5. Assist with communications (printing and assembling bulk mailings, special bulletins, e-news, website updates, graphic design, social media).
  6. The Office Manager handles most financial duties; however, the Administrative Assistant may help with tasks such as writing checks, entering donations, etc.
  7. In conjunction with the Office Manager, maintain an accurate church calendar, office supply inventory, and schedule maintenance of office machines.
  8. Other duties as assigned by the Office Manager or Senior Pastor.

Qualifications:

  1. A commitment to embrace the Mission, Vision, and Welcome Statements of English Lutheran Church (found here).
  2. Dependable, responsible, self-motivated, detail-oriented.
  3. Ability to maintain confidentiality in all matters.
  4. Proficiency in keyboarding skills, Microsoft Office Suite (Word, Excel, PowerPoint), Canva, Constant Contact, Weebly, social media, office machines, and willingness to learn church software (ICON CMO).
  5. Graphic design skills preferred, but not required.
  6. Ability to meet deadlines, prioritize, and multi-task, with acute attention to details.
  7. Post-secondary study in administrative or secretarial skills, or equivalent experience (3-5 years) is required.

Compensation, Schedule, and Benefits:

  1. Competitive pay, based on local wages and trends within religious institutions.
  2. Part-time, up to 30 hours per week, 1,560 hours per year.
  3. Typical Monday-Friday schedule, with hours anytime between 8:00-4:00pm. Required work hours include Tuesday afternoons (year-round). Hours may vary based on school year vs. summer but may not exceed 30 hours per week consistently.
  4. Part-time positions are eligible for paid holidays, vacation, and personal time off as outlined in English Lutheran Church’s Employee Policy Handbook.
  5. This position has potential to be full-time in the future, based on the needs of the church and the willingness of the current employee.
