Outreach Assistant and Volunteer Program Assistant (Limited Duration)

This is a part-time Limited Duration opportunity that is intended to last for 12 months from the date of hire.

The City of Salem is seeking to hire two PTE Career Office Assistants, a Volunteer Usage Assistant and a Fundraising/Events Assistant, to join the team at Center 50+. Both positions are part-time (20 hours per week) and play an important role in supporting the daily operations of Center 50+, including volunteer coordination and fundraising/special events.

What you will do: 
The Office Assistant Volunteer Usage Assistant is responsible for maintaining and updating the volunteer database by processing applications, renewals, and resignations. This role also involves coordinating volunteer requests, generating reports, and maintaining the volunteer calendar of events.

 

The Office Assistant Fundraising/Events is responsible for maintaining and updating the donor database and offering assistance at fundraising and special events.

We are looking for individuals who are confident in coordinating multiple tasks and possess excellent communication and organizational skills. Additional preference will be given to candidates who have experience with data management and are bilingual in English and Spanish. 

The ideal candidate will have strong interpersonal skills, experience working with a diverse community, excellent customer service abilities, and the capacity to problem solve and take initiative.

Additional information on job responsibilities:

  • Provide excellent customer service by explaining programs & activities, including all programs that utilize volunteers.
  • Provide regular coverage of outreach table in Connections Center and participate off-site at WOW Van and Villages Network events as needed, including promoting Center 50+ programs and services at information fairs & other events
  • Receive and respond to calls and emails, redirecting them to other employees when appropriate and/or making outside referrals when necessary
  • Schedule appointments with volunteers for initial interviews, trainings, and on-going volunteer tasks.
  • Assist in organizing meetings and workshops, including reserving meeting sites, arranging refreshments, preparing agendas, taking and distributing minutes, issuing required notifications, and maintaining pertinent records
  • Support the creation and distribution of various types of printed materials.  (e.g., forms, reports, correspondence, flyers, lists, schedules, etc.)
  • Assist with the onboarding process and retention of all volunteers, including participation in the interviews, training activities, and recognition events.  
  • Assist in maintaining the Center’s social media presence on Facebook and Instagram.
  • Perform other duties as assigned.

  • Position schedule is Monday - Saturday with varied hours, between the hours of 10:00 a.m. to 3:00 p.m., and occasional evening or weekend shifts.

What are the minimum qualifications? 

  • Must pass the pre-employment background check, and depending on area of assignment, may be required to pass a drug test (including marijuana).
  • Must have an Oregon Driver license and meet the City of Salem's driving standards.
  • A high school diploma or GED, and two (2) years of experience in general clerical/reception work involving public contact in person and providing administrative support, or any combination of experience and training that demonstrate possession of the knowledge, skills, and abilities as listed, and ability to perform the essential job functions.

Preferred Qualifications (Not required to apply):
 

  • Bilingual Spanish skills preferred.
  • Coursework in business technology or a related field that included office procedures and computer operations preferred. 
  • A typing certificate may be required for certain assignments.
  • Two (2) years’ experience working directly with older adults.

  • Experience in training and supervising volunteers to ensure efficient program operations; 
  • Experience managing calendars and coordinating staff schedules;
  • Knowledge of desktop publishing and website maintenance, with strong mastery of computer systems and software;
