Position Title: Program Assistant
Position Overview
The Multilingual Citizens Program Assistant supports the successful delivery of the Multilingual Citizens Program by providing administrative and participant support across multiple program sites. This position was created in response to program growth, including an increased number of sites and participants. The Program Assistant works closely with the Program Coordinator and Lead Community Support Specialist to ensure accurate data management, effective communication with participants and families, and smooth transitions across programs.
Key Responsibilities:
1. Data Management and Reporting (10 hours/week)
- Cross-check systems (Salesforce and CATS) to ensure consistency, completeness, and accuracy.
- Support collection of demographic data and analysis to inform reporting
- Support Lead Community Support Specalist & Program Coordinator in generating reports
- Conduct data analysis to inform program evaluation.
- Regularly review records to confirm completeness and accuracy, addressing missing or inconsistent information.
2. Program Data Entry and Systems Support (3 hours/week)
- Monitor data quality according to reporting timelines and standards
- Conduct regular audits to address missing or inconsistent information
- Provide systems support to staff as needed
3. Participant Support & Communications (7 hours/week)
- Provide bilingual (English/Spanish or English/Arabic) phone and email support.
- Respond to inquiries, share program details, and assist with transitions to other ReDefiners programs
- Track participant follow-up, retention, and outcomes
- Translate or proofread bilingual program materials
- Assist with outreach to recruit new participants and promote programs, as needed
- Collaborate with the marketing team on campaigns and community events, as needed
- Support preparation and distribution of bilingual marketing content, as needed
- Support tracking of outreach efforts and participation trends, as needed
Qualifications
- Associate’s degree or equivalent experience in education, social services, or data administration.
- Bilingual fluency in English and Spanish or Arabic required (written and verbal).
- Experience with Salesforce or similar CRM systems preferred.
- Strong organizational skills and attention to detail.
- Ability to work independently and collaboratively in a multicultural environment.
- Strong interpersonal and communication skills, with a commitment to inclusive and responsive service.

Position Type:
- In-Person at 8056 N. 56th St., Tampa, FL 33617 & In the Field
- This role requires travel within Hillsborough County. Access to reliable transportation is required; mileage reimbursement may be available
- 20 hours per week
Reporting Structure:
- Reports to the Community Support Specialist
- No Direct Reports
Compensation:
$30,000-$33,600 per year
