Job Description

The Sales Administrator plays a key role in ensuring that Bars & Recreation clients and guests experience welcoming, engaging, and seamless interactions with the company, from the initial phone call, email, chat, or any other method of communication to the final invoice and thank you email.

Specific tasks include:

• Answer phone calls, emails, and chat messages related to custom events and reservations.
• Accurately respond to questions from clients and guests via phone, email and chat.
• Respond to event inquiries and leads in a timely manner. 
• Assist in maintaining BAR’s CRM (Event Temple) and client database by linking accounts, updating contacts and regularly reviewing all information for accuracy.
• Gather full client information for new inquiries in CRM (name, company, address, phone, email, and other relevant information).
• Assign event inquiries to the appropriate event sales manager or Director of Sales & Events. 
• Update bookings accurately to reflect all communications, tasks, status, client requests, etc.
• Prepare proposals and quotes for event inquiries, as requested by Director of Sales & Events. 
• Create, send, and record invoices to private event clients, and follow up for payment as needed. 
• Ensure events are maintained accurately through the pipeline, including moved to “Lost” when appropriate, sending thank you notes, and archiving in a timely manner.
• Book internal events in CRM including Fiserv events, BAR events, etc.
• Book lanes as needed. 
• Assist in preparing and distributing sales and catering reports. 
• Research and reach out to potential private event clients; share hot leads with appropriate sales manager, enter contact information and follow-up plans. 
• Keep CRM updated when changes are made to menus, activities, prices, etc.
• Assist with entering invoices and other bookkeeping functions.
• Assist the Senior Project & Office Manager as needed, especially on Fridays.
• Keep the office clean and organized (take out trash, keep conference room clean, etc.). 
• Assist with general data entry as needed. 
• Attend relevant company meetings. 
• Assist with custom events if needed
• Assist with BAR employee training.
• Exemplify and promote the company’s values, culture, and positive behaviors.
• Other tasks as assigned.

Job Location and Tier

This position is classified as a Tier 3 On-site Employee and has assigned desk space at 175 S. Water Street. Per the Remote Work for Exempt Employees Policy in the Bars & Rec Employee Handbook, On-site Employees are expected to work onsite on a regular basis.

Supervisor

This position reports directly to the Director of Sales & Events.

Time Commitment

The Sales Administrator is expected to work 40 clocked-in hours per week, from 8:30am-5:30pm Monday-Friday with a 1-hour lunch break. Adjustments to this schedule can be made as needed with approval from the Director of Sales & Events. Due to the nature of our business, some Saturdays and evenings may be needed.

Application Requirements

• Must be at least 21 years old.
• Must have outstanding communication skills including impeccable writing and phone skills.  
• Must have excellent time management, organizational, and problem-solving skills. 
• Must be able to work independently and contribute in a team environment. 
• Must have (or be willing to obtain) personal transportation and a personal cell phone.

A Successful Sales Administrator Is

• Detail-oriented, especially when it comes to spelling, filing, and record-keeping. 
• Excellent at time management and completing a high volume of tasks with accuracy. 
• Able to listen, communicate and give full attention to clients and guests.
