WORK LOCATION: This is a hybrid/remote intern position, with an opportunity to work 10 – 20 hours a week (potentially more during summer hours and school breaks), based on organizational needs and the candidate’s availability.

The ideal candidate should reside within 60 miles of South Bend, IN, and have availability during regular office hours of M-F, 8 a.m. - 5 p.m., EST, as the office is closed during evening and weekend hours.
POSITION SUMMARY: The HR Assistant supports the Human Resources department by performing a variety of administrative tasks and services. This role involves assisting with recruitment, personnel records management, benefits administration, and people relations. The HR Assistant ensures the smooth and efficient operation of the HR department, contributing to a positive team member experience and supporting HR initiatives.
ESSENTIAL FUNCTIONS AND JOB RESPONSIBILITIES

- Assist with the processing and submission of required paperwork for team member transfers, changes in job classification, salary increases, and other related employment matters.
- Prepare and submit reports related to HR activities, such as team member turnover, recruitment metrics, and benefits participation.
- Assist in the recruitment process, including posting job openings, screening resumes, scheduling interviews, and conducting background checks.
- Coordinate and communicate with candidates throughout the recruitment process.
- Act as a backup to payroll; learning start to finish, payroll/compliance processes, and completing payroll as needed.
- Assist in the onboarding process by preparing new hire documentation, conducting orientation sessions, and ensuring a smooth transition for new team members.
- Manage offboarding processes, including exit interviews and the collection of company property.
- Maintains human resources records for team members by recording the hiring, transfer, termination, change in job classifications, and merit increase dates as well as tracking vacation, sick, and personal time.
- Documents and tracks human resources actions by completing forms, reports, logs, and records.
- Works as a leader or participant on various committees; coordinates events and sends org wide communications.
- Assist in responding to team member inquiries and concerns, directing them to the appropriate HR representative when necessary.
- Support the organization of team member engagement activities and HR events.
- Provide administrative support to the HR department, including scheduling meetings, managing calendars, and preparing presentations.
- Participates in continuous educational HR related trainings and seminars to promote professional development.
- Assists with the creation and obtainment of individual and team goals and commitments.
REQUIRED SKILLS
- Must practice and demonstrate the ability to retain confidential/sensitive information.
- Extensive knowledge of office management systems and procedures.
- Ability to operate general office equipment.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite or similar software.
- Meticulous attention to detail
- Exposure to HR related processes, labor laws/regulations and people management is a plus
- Excellent attention to detail, organization, and time management skill
This is a remote position with the expectation of travel to meet the needs of the position. Work is completed in a general office environment, sedentary in nature but may require standing and walking for up to 10% of the time. The work environment is favorable with adequate lighting and temperature, and no hazardous or unpleasant conditions caused by noise, dust, etc. Must be able to operate standard office equipment and keyboards.
