Executive Assistant / Real Estate Support

We are seeking a dependable and detail-oriented Executive Assistant / Real Estate Support professional to assist a busy Real Estate Broker® and Interior Designer. 

This role offers an exciting opportunity to enter the world of luxury real estate.

You will be instrumental in managing schedules, coordinating projects, handling client communications, and ensuring the smooth operation of daily activities. Your energetic approach and attention to detail will help drive efficiency and success across various initiatives, making a meaningful impact on our team’s productivity and client satisfaction.

 

What You'll Do

  • Coordinate Check-in's / Check-out's for luxury vacation rental properties.
  • Communicate with tenants in a courteous and professional manner.
  • Manage property calendars using online software.
  • Schedule appointments with clients and vendor meetings.
  • Handle phone etiquette professionally, screen calls and direct inquiries.
  • Organize events such as open houses or parties by planning logistics, managing invitations, and overseeing onsite arrangements.
  • Provide executive administrative support and maintain organized systems.
  • Support office management duties and general clerical tasks.
  • Manage personal assistant responsibilities to optimize daily routines.
  • Utilize office software tools for document creation, and basic data entry.

Who you are

  • Highly organized, self-motivated, and dependable.
  • Excellent ability to multitask effectively in a fast-paced environment.
  • Strong communication, typing, and follow-through skills.
  • Exceptional phone etiquette w/ the ability to communicate professionally.
  • Proficient in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), Canva, and familiarity with social media platforms.
  • Professional, discreet, and solutions-oriented.
  • Excellent customer service skills with a friendly demeanor.
  • Comfortable handling administrative and property-related responsibilities.
  • Prior experience in a real estate support role is helpful but not required.
